ADMINISTRATIVE TECHNICIAN

GENERAL STATEMENT OF RESPONSIBILITIES

Under general supervision, this position is responsible for performing routine to difficult

administrative support work. Reports to a division Administrator or Assistant Administrator.

ESSENTIAL JOB FUNCTIONS

Performs administrative support functions not limited to filing, word processing, creating

spreadsheets, data entry and retrieval, ordering office supplies, report preparation, and determining

the appropriate processes to be used. Functions may include reviewing and completing forms, reports,

questionnaires, work orders, service requests and other similar documents to ensure accuracy and

conformance to established procedures and policies.

Assists with the employment process to include creating requisitions, scheduling interviews, and

preparing interview packets for interview panels; may assist with processing division timesheets and

payroll.

May assist with division specific job duties to include, but not limited to, dispatching crews to

worksites, notifying and coordinating with City departments in emergency situations; or monitoring

alarm systems utilizing a Supervisory Control and Data Acquisition (SCADA) software; collecting and

processing payments, coordinating Miss Utility requests, or similar duties.

Screens, tracks and responds to general inquiries and complaints from the general public, contractors,

other departments, and outside agencies. Interacts with the public and others outside of the work unit

to obtain and provide information in a variety of circumstances. Performs inquiry searches to obtain

and distribute accurate information. Operates a two-way radio console to respond to a variety of

service requests.

May track, process, and reconcile division reports; collect fee payments and determine citizen eligibility

for program fee relief in accordance with program guidelines; assist citizens with eligibility

applications, and notify customers of determinations. Analyzes and evaluates current administrative

processes and procedures; makes recommendations for operational improvements, and identifies

discrepancies.

REQUIRED KNOWLEDGE
ï‚·
Office Administration – Knowledge of office systems, practices, procedures and administration.
 Technology – Knowledge of general office equipment and personal computers to include word

processing, spreadsheet, and related software.
 Customer Service — Considerable knowledge of principles and processes for providing customer

service. This includes setting and meeting quality standards for services, and evaluation of

customer satisfaction.

Computer Skills – Utilizes a personal computer with word processing, spreadsheet, and related

software to effectively complete a variety of administrative tasks with reasonable speed and

accuracy.
 Interpersonal Relationships – Develops and maintains cooperative and professional relationships

with employees and all levels of management to include representatives from other departments

and organizations.
ï‚· Time Management – Plans and organizes daily work routine. Establishes priorities for the

completion of work in accordance with sound time-management methodology and estimated

schedules.

Judgment/Decision Making – Ability to use logic and reasoning to understand, analyze, and

evaluate situations and exercise good judgment to make appropriate decisions.
 Communication – Excellent ability to communicate, listen to and understand directions,

information, and ideas presented verbally and in writing, which may include the preparation of

detailed reports including numerical information and statistics. Ability to handle a variety of issues

with tact and diplomacy and in a confidential manner.
ï‚· Accounting – Ability to perform arithmetic, algebraic, and statistical applications. Ability to employ

economic and accounting principles and practices in the analysis and reporting of data.

EDUCATION AND EXPERIENCE

Requires a high school diploma and 2 years of related administrative support experience or an

equivalent combination of education and experience necessary to develop the required knowledge,

skills and abilities for this position.

ADDITIONAL REQUIREMENTS

An acceptable general background check to include a local and state criminal history check.

A valid driver’s license with an acceptable driving record.

Must successfully complete the required National Incident Management System (NIMS) Incident

Command System Certifications within one year of employment.

The job is considered Essential Personnel and will be required to work during and following natural

disasters and emergency situations.

PHYSICAL REQUIREMENTS
ï‚· Requires the ability to exert light physical effort in sedentary to light work.
ï‚· Some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10

pounds).
ï‚· Tasks may involve extended periods of time at keyboard or work station.
SENSORY REQUIREMENTS
ï‚· Some tasks require the ability to perceive and discriminate sounds and visual cues or signals.
ï‚· Some tasks require the ability to communicate orally.
ENVIRONMENTAL EXPOSURES

Essential functions are regularly performed without exposure to adverse environmental conditions.
