Job Description:
The Administrative Support Coordinator is overall responsible for maintaining effective administrative workflow and communication by establishing, assessing, and/or refining current department-internal processes. This includes Executive Level, cross-department, and department-internal communication and synchonization, tracking and reporting of department employee administrative requirements, special project assignments, key event support, and Director advisement regarding employee-related matters.
Essential Duties:
Supports department-internal tracking and reporting of key adminstrative requirements to include: semi-annual and annual performance reviews, required training and certifcations, work-related employee travel, employee key information and administrative issues, and incoming/outgoing employees timelines.
Assists with coordinations between HR and department leadership to complete administrative requirements (on-boarding and out-processing) for new employee hires, transfers, and terminations
Assists with departmental expenditure tracking and annual department budget forecasting.
Ensures all new or updated company policies are communicated, understood, and implemented within department and sub-sections.
As directed, effectively communicates with Executive Team, cross-department leadership, and/or identified stakeholders on behalf of Director and department.
Provides backside support for key leadership events to include: Annual Leadership Seminar, Monthly Leader Syncs, Strategic Update Planning Sessions, and other identified cross-department events.
Works in conjunction with Communications Manager and Marketing to provide key updates and suggested content in support of company-wide communications/shared awareness.
Leads, assists with, and/or coordinates special projects and assignments, as directed.
Performs all other duties as assigned.
Education:
Required:
Minimum of Bachelors degree in Business Administration, Communications, Operational Management, or similar field
Preferred:
Masters degree from accredited college in related field, mentioned above
Experience:
Required:
Minimum 1 year proven experience (Mesa internal or external) in career field associated with business adminatration, communications, or operational management
Demonstrated compentcy in organizational management platforms (i.e. Microsoft Suite or similar)
Preferred:
3+ years proven experience (Mesa internal or external) in career field associated with business adminatration, communications, or operational management
Honorably discharged service veteran
Certifications, Licenses & Registrations:
Must possess and maintain a valid driver’s license and a driving record satisfactory to the company and its insurers
Knowledge, Skills, & Abilities:
Strong prioritization, organization, and project management skills
Excellent communication skills with a strong attention to detail both verbally and written
Able to work independently and ensure tasks are completed with little supervision
Willingness to learn/adapt to new or evolving techniques, IT systems, and processes
Able to handle frequent interruptions and handle conflict in an effective manner
Operates as a team player while supporting company-level priorites and goals
Adaptability to work through ambiguous or nasent problem sets while delivering effective solutions
