Job Summary: The Administrative Operations Associate will play a vital role in ensuring the seamless operation of caregiver-client scheduling while supporting key administrative, marketing, and sales initiatives. This individual will be responsible for scheduling caregiver-client shifts, coordinating candidate interviews, creating email campaigns, conducting cold calls, auditing records, managing social media content, fostering referral relationships, and assisting with time adjustments and payroll support. The role requires exceptional organizational skills, effective communication, and the ability to multitask in a fast-paced environment.
Qualifications:
High school diploma or equivalent (required); Associate or Bachelor’s degree in a related field (preferred).
Minimum of 2 years of administrative, preferably in the healthcare or homecare industry.
Experience using scheduling software.
Familiarity with email marketing tools like Constant Contact and social media platforms.
Lawfully authorized to work in the U.S.
Must have reliable transportation (valid drivers license and auto insurance will be requested)
Skills and Competencies:
Exceptional organizational and time-management skills.
Strong verbal and written communication abilities.
Proficient in Google WorkSpace
Ability to handle multiple tasks with attention to detail and accuracy.
Comfortable with cold calling and relationship-building.
Creative mindset for developing engaging content and campaigns.
Knowledge of compliance and regulatory standards within the homecare industry.
Key Responsibilities:
1. Scheduling and Coordination:
Lead the caregiver scheduling process to align with client needs and availability.
Coordinate interview schedules for prospective hire candidates by arranging times and dates as guided by the Recruitment HR department, which will lead and conduct the interviews.
2. Marketing and Communications:
Assist in planning and executing marketing and sales campaigns.
Develop and manage email campaigns via Constant Contact targeting prospects, active clients, and employees.
Create engaging and informative social media content to promote SYNERGY HomeCare services and brand awareness.
3. Sales and Outreach:
Conduct cold calls to prospective clients and partners to generate leads and build relationships.
If a cold call results in a prospect seeking care and willing to have a service assessment, schedule the SYNERGY HomeCare Assessment promptly.
Generate referral sources for the Sales Team associates, maintaining a strong network of potential leads.
4. Compliance and Reporting:
Perform quarterly audits of AxisCare State Audit files to ensure compliance and accuracy.
Maintain up-to-date and organized records of caregiver and client schedules, as well as other relevant documentation.
5. Payroll and Administrative Support:
Assist in time adjustments and payroll support tasks for the Accounting Department.
Provide general administrative assistance to the Executive Team (Doing Research)
