Summary: We are seeking an Administrative Assistant to perform various office duties

Job Title: Administrative Assistant

Location: New York, NY 10004

Target Work Schedule: Monday to Friday 8:00AM to 5:00PM

Target Duration/End Date: April 2026

Description of Roles and Responsibilities:

· Facilitate the processing of Mortgage Loan Originator license applications, including but not limited to reviewing applications and accompanying documents submitted by Mortgage Loan Originators for accuracy and completeness, data entering application related information and application status changes in internal LINX database and uploading application related documents; preparing communications requesting additional supporting documents or informing applicant of deficiencies in applications; reviewing criminal background checks, verifying compliance with testing and education, sponsorship, work location and surety bond requirements; preparing a checklist identifying applicant’s compliance all licensing requirements, statutory prohibitions and eligibility for licensing

Mandatory/Minimum Qualification, Skills, Experience Requirements:

Associate or Bachelor’s degree preferred. And at least three years of data entry or relevant experience

Qualification, Skills, Experience Requirements:

· Eligible to work in New York State

· At least one year of experience in clerical support related work

· One year of Intermediate Microsoft Excel skills (pivot tables, mail merge, formulas to compare spreadsheets)

· Detail-oriented with the ability to organize and prioritize tasks effectively in a high-volume environment

· Work independently

· Manage varied tasks as assigned

· Excellent verbal communication and interpersonal skills

· Must have good time management skills

· Able to catch errors/inconsistent/ incomplete work, proofread work

· Able to manage a large volume of electronic files without commingling files

· Must be able to work quickly and accurately

· Able to follow office policy and procedure

· Able to rename PDF files, drag and drop files in folders, copy and paste files into folders, create folders, edit template emails, double checks work, ask questions when clarification is needed

· Must be proficient in Microsoft Word, Adobe PDF, Microsoft Excel, and Microsoft Outlook

· Ability to prepare and maintain standard records and reports

· Ability to understand and carry out oral and written instructions
