Accountability:Reports to Director of Training

Job Status:Full-Time Position, 40 hours per week

ADMINISTRATIVE ASSISTANT – TRAINING PROGRAM

TRAINING DEPARTMENT – BERKELEY

Job Summary:

40 hour per week full-time position. Support the Training program within the A Better Way (ABW) organization; maintain data, maintain positive relations with all staff and assist with the daily operations of the agency as necessary.

Responsibilities:

Manage monthly invoice documentation process with acute attention to detail and frequent accuracy quality assurance checks.

Administrative assistance; managing training dept. email account, customer service tickets for online training system, copying, filing, documentation.

Work closely with Training Team to ensure workflow runs smoothly

Support with course coordination, scheduling and reminders for events

Support pre and post training events with administrative assistance- copying, room setup/breakdown

Assist in aggregating and maintaining data relevant to Training Management

Reporting of data on quarterly, annual and as-needed basis

Support with registration using constant contact, Wufoo, and online training system

Conduct online marketing for training department

Maintain monthly Continuing Education submission records to governing boards

Act as liaison with the counties, licensing boards, etc. to provide information with integrity

Maintain fiscal year contract records and monthly invoicing for contracted trainers and counties

Support new hire onboarding activities as needed (Paycom, training registration, etc.)

Support large event coordination as needed

Contribute to documentation of processes and policies in Training Department

Other duties as assigned

Qualifications:

2 year degree or commensurate experience

Extensive knowledge of computers and programs

Advanced use of MS Office Suite (Word, Excel, Power Point)

Excellent interpersonal skills which include proactive communication, listening skills, approachability, and attitude

Excellent verbal and written communication skills

Ability to represent A Better Way in a positive and professional manner during telephone/written communication and in-person contact with clients, care-givers, providers, trainers and staff

Customer service approach to work with strong skills of patience and problem solving

Ability to manage several project timelines simultaneously, with a commitment to stay organized using online project management software

Obtain a drivers license and have access to a dependable automobile and ability to drive to multiple locations throughout the month

Work Environment:

While performing the duties of this job, the employee regularly works in an office setting.

Hybrid remote [local]/ in office. Often in office 2-3 days a week, more as needed.
