RE: Job Description – Office Assistant
We are seeking a highly organized and detail-oriented Office Assistant to join our team. A fast-paced service company providing Turn-Key and Renovation Services for the Multi-Family Apartment industry.
The ideal candidate will be responsible for managing various administrative task and providing exceptional customer support. This role requires a proactive individual who can handle multiple responsibilities while maintaining a positive and professional demeanor. Proficiency with Google Suites is essential.
Responsibilities Include:
Assist Management in day-to-day administrative operations, provide secretarial support for Staff and respond to office related requests and issues.
Answer and direct phone calls; providing outstanding customer service; addressing client needs and resolving issues promptly
Manage Email Correspondence and respond timely to client email and schedule requests.
Develop documents and filing systems; Maintain client contact lists; Create and update records and reports.
Schedule appointments and greet Visitors.
General Office Duties – ordering supplies, preparing invoices and basic bookkeeping.
Qualifications:
Proven experience in an administrative role or as an office clerk is preferred.
Strong proficiency in Google Suite applications (Docs, Sheets, Calendar).
Exceptional communication skills, both verbal and written.
A proactive attitude towards problem-solving and improving office processes.
Ability to multitask and prioritize and work independently while maitaining attention to detail.
Familiarity with QuickBooks will be an advantage
General knowledge of office management procedures and basic accounting principles.
