Summary:
We are seeking a detail-oriented and organized Billing and Administrative Specialist to manage daily billing operations, address client and employee inquiries, and ensure accurate financial record-keeping. This role involves processing invoices, auditing transport and key activity, managing denials, and collaborating with internal teams to resolve billing discrepancies. The ideal candidate will be a proactive problem-solver with strong communication skills and a commitment to maintaining accurate and timely financial records.
Responsibilities:
Daily Billing and Invoicing:
Process and bill transport deliveries for the previous day.
Review and manage denials, responding to necessary emails.
Track and manage deposits.
Generate a daily summary of billed keys to ensure accurate billing by the key department.
Review and address any outstanding past due invoices.
Check for and address any unsent invoices at the end of each day.
Auditing:
Conduct weekly transport delivery audits.
Perform monthly key audits by the 5th of each month.
Conduct flatbed/dolly audits (currently focused on June).
Communication and Collaboration:
Respond to client and employee emails regarding billing inquiries and correspondence.
Communicate with internal teams (e.g., Transport, Key Department, CSRs) to resolve billing issues and discrepancies.
Confirm key motive batch invoicing with Stephanie F. every Tuesday.
Special Projects and Tasks:
Manage storage invoicing for the previous week.
Maintain and update departmental files (Transport and Key Department).
Address and resolve outstanding billing issues from previous periods (e.g., April transport invoice issues, June CSR invoicing issues).
Handle special billing projects as assigned (e.g., billing Bridgcrest for previously unbilled storage).
Additional Responsibilities (During Stephanie F.’s Vacation):
Check mail daily.
Make deposits as needed.

Proficient in basic accounting principles and practices.
Strong communication and interpersonal skills.
Ability to work independently and as part of a team.
Experience with billing software and Microsoft Office Suite.

Job Type: Full-time
Pay: $17.75 – $24.00 per hour
Expected hours: 40 per week
