Responsibilities
Job Description for Administrative Assistant
Perform data entry for matter creation or transaction creation
Extract information from purchase or sale documents and populate it into the company dashboard
Generate client invites and send templated introduction emails
Conduct trust accounting tasks, including matching banking transactions to system data
Populate transaction details in the system
Compile information for final reports
Respond to internal team messages and complete assigned tasks
Requirements
Strong attention to detail and accuracy in data entry
Excellent organizational skills
Ability to learn and adapt to new systems quickly
Proficiency in using computer software and databases
Strong written communication skills for drafting emails
Ability to work independently and follow instructions precisely
Scope
Handle confidential financial and legal information with discretion
Work within designated timeframes to ensure timely processing of transactions
Collaborate with internal team members via messaging systems
Adapt to evolving processes as the company scales its operations
Potential for expanded responsibilities as familiarity with the business grows
Monday to Friday, 9am to 5pm Eastern with a 30-minute paid break
