Summary of Responsibilities
This position provides high-level administrative support to the advisor team, acting as a trusted partner to manage schedules, client communications, and operational efficiency. The role includes anticipating advisor needs, maintaining confidentiality, and enhancing overall productivity. For the right candidate, this position offers growth opportunities into a senior client relationship or leadership support role.

Principal Responsibilities

Serve as the primary point of contact for client inquiries; manage phone calls and correspondence professionally, ensuring client satisfaction.
Proactively manage the advisor’s calendar, scheduling client meetings (via Zoom, Teams or in-office) and coordinating appointments with precision and foresight.
Maintain accurate and organized client records, including statements, correspondence, and agreements, ensuring timely updates and easy retrieval.
Anticipate advisor needs and provide solutions to streamline workflows and enhance productivity.
Update client data across multiple systems, ensuring information remains current and error-free.
Execute mail merges for client mailings, as directed by the advisor, while maintaining a polished and professional standard.
Utilize broker-dealer resources to maximize efficiency and support advisor operations.
Identify and recommend improvements to office processes, focusing on systemization and operational enhancements.
Stay informed about industry updates, technology advancements, and relevant communications; summarize key insights for advisor review.

Required Knowledge/Skills/Competencies

Exceptional attention to detail and commitment to accuracy.
Minimum of five years’ experience in an executive support or client servicing role, preferably within wealth management or financial services.
Proven ability to thrive in a fast-paced, high-pressure environment while managing multiple priorities.
Strong organizational and time management skills, with the ability to anticipate needs and act independently.
Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with virtual meeting platforms (e.g. Teams and Zoom).
Excellent communication and interpersonal skills, maintaining professionalism and discretion at all times.
Preferred: Experience with client relationship management (CRM) software.

Job Type: Full-time

Pay: $45,000.00 – $52,000.00 per year
