Job Summary: Provides administrative support to the Vice President and other members of the department. Coordinates the maintenance, organization, and administration of the division. Supports all administrative functions, including database management, reporting, and meeting coordination.

Minimum Required Education:
Associate’s degree or higher, or combination of experience and education that yields the required knowledge, skills, and abilities.
Preferred Experience:
2 to 5 years clerical, general office, or administrative support experience
Work experience in secondary or higher education

Essential Job Functions:
Performs general administrative tasks including, but not limited to, coordinating appointments and meetings, answering the phone and directing calls to the appropriate resource, typing correspondence, filing and maintaining files, copying and distributing materials, ordering supplies, creating purchase orders, and sorting and distributing mail.
Greets visitors, faculty, staff, and students, responds to general inquiries, provides informational material, and directs visitors to appropriate location, as needed.
Initiates, tracks, organizes, and processes purchase orders and requisitions.
Assists and carries out projects, services, and activities for the department including, but not limited to, department-wide mailings, scheduling and coordinating meeting set-up, taking minutes, record keeping data entry, and correspondence.
Assists with programs and meetings hosted by the department, the college, and/or student groups as needed. Coordinates travel arrangements for departmental staff as requested.
Maintains inventory of the departmental supplies including office supplies.
Assists the Vice President with the departmental budget.
Works cooperatively with all members of the department to help develop and promote the institutional image, mission, and vision.
Area Specific Job Functions:
Assist with fixed assets and inventory
Assist with monitoring and scheduling annual reports
Assists with registration and switchboard relief
Assists with bid proposals, journal entries, and 1098T’s
Oversees the copiers and office supplies contact on campus
Assists with Insurance and P-Card Reconciliation
Other duties as assigned
Other Information:
Security sensitive position.
Participates on institutional committees as assigned.
Weekend and evening work may be required during designated times.
May travel to other Hill College campuses or within the service area as needed.
Must have a valid Texas Driver’s license.
Physical Requirements:
Sedentary/Light work; exerting up to 10 – 20 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body.
