Position Summary & Responsibilities:

Position Summary:

This Senior Administrative Assistant position is located in Topeka, at the Eisenhower State Office Building, and is within the Bureau of Human Resources.

Providing technical support and guidance to Area Administrative Specialists (AOMs), Area Administrative Assistants, supervisors, and managers in field locations on procedural and policy information and performing technical administrative transactional work in human resource specialty areas.

Job Responsibilities may include but are not limited to the following:

Answer questions from the public on open positions and provide directions on how to apply for positions and tax clearance certificates. Assist with scheduling interviews in the District Headquarters Office when needed.
Responsible for scheduling district training and registering employees in classes in the Learning Management System (LMS) and coordinating with the ODU team in the Bureau of Human Resources to establish courses. Track all district employee training requirements to maintain required supervisory hours or mandated program training and testing.
Responsible for tracking district employee performance review program, prepare reports and distribute to supervisors and managers for notification and tracking. Responsible for follow-up to ensure reviews are completed by due dates.
Prepare and process Family Medical Leave Act (FMLA) and Parental Leave requests through Bureau of Human Resources.
Backup and provide assistance with entering personnel transactions.
Backup and provide payroll assistance in reviewing KDOT Employee Time Confirmation Report.
Order certificates and awards and track receipt and delivery on spreadsheets. Prepares service award packets for area offices with the certificate, pin, and gift.

Qualifications:

Minimum Qualifications:

One year of experience in general office, clerical, and administrative support work. Education may be substituted for experience as determined relevant by the agency.

Valid Driver’s License at time of appointment.

Preferred Qualifications:

Working knowledge of computer programs including Office programs, Outlook, Word, and Excel, and familiarity with databases are preferred.
Previous experience in the Human Resources field is also beneficial.
