THE POSITION
An Administrative Associate II works under minimal supervision, performs a variety of complex secretarial and clerical tasks at the experienced level. Receives minimal supervision from assigned supervisor or manager and may assign work to temporary staff.

This is the second level class within the Administrative Associate series. This class is distinguished from the Administrative Associate I class in that employees at this level perform more complex and difficult assignments with minimal supervision The consequences of error may be great in dealing with matters that must be handled with a higher level of discretion and judgment due to the impact of erroneous or misinterpreted information given to the public, employees, governmental agencies or other groups.

It is distinguished from the Administrative Associate III class in that the latter performs the most difficult, technical, complex and/or specialized office support duties which require a definable body of technical knowledge and skill.

This position is represented by Service Employee International Union position (SEIU)

Depending upon assignment, duties may include, but are not limited to, the following:

Answer and screen telephone calls and visitors using tact and judgment in making referral to appropriate source of information; give information and explain policies, procedures or regulations in response to inquiries, using knowledge of organization and its functions.

Proofread and check typed and other materials for accuracy, completeness, and correct English usage, including grammar, punctuation and spelling.

Locating sources of information and devising forms to secure data.

Attends divisional level meetings, takes notes and prepares report on the proceedings. May take and transcribe dictation.

Arrange appointment or meeting schedules as requested; contact participants and arrange for location and required materials; make travel arrangements for staff members’ attendance at conference or seminars.
