The Business Services Support Associate will support, review and monitor operations of the Corporate External Affairs (CEA) team assigned to the Government Relations team.

Duties/Responsibilities:

Admin, Accounting and Financial Management

Carries out functional responsibilities: a) Purchasing (PO/PR), b) Billing (A/R), c) payment requisition (A/P), c) support in budget monitoring (keeps track expenses based on the budget)

Facilitate AEV accounting & system accreditation of new suppliers.

Process Request for Payment (RFP) for suppliers (AWC, Seda, Inflight, etc.)

Will process MyPerx CC reimbursements for TMs every Tuesday (2 wks before the due date) only

Government Relations Admin Matters

Supports the day-to-day operations of the Corporate External Affairs team (GovRel) in the areas of accounting

Receive documents / communications / calls on behalf of GovRel team in the event the team member is out

To coordinate with GovRel’s suppliers

Set schedule of GovRel huddles (with other BUs & D) and send invites as well

Set schedule of AEV GovRel huddles and send invites as well

Takes minutes of the meeting for GovRel team huddles and sends a copy of the same to all day after the meeting

Handles the team’s HR concerns / matters

Main POC in NAC incase team member is out

Logistics

Booking and purchase of airline tickets

Booking of hotel rooms / accommodations (if send-bill)

Vehicle rental requirements

Function room reservations / logistics support for meetings (internal & external)

Preparation of collaterals, standees, giveaways (to coordinate with RMD)

Aboitiz Foundation Tasks

Custodian of AFI templates

Attends AFI Meetings and CSR Clinics and to relay important reminders & information to the team

Encodes all GovRel proposal in AXIS

Encodes AFI Project related liquidation/reimbursements in AXIS

Once project is complete, Project lead to endorse all docs for submission to AFI

Facilitate AFI accounting & system accreditation of new suppliers

Qualifications:

Bachelor’s Degree holder (Communication, or any course)

At least 2 years of relevant work experience

Must have exposure in pre- and post-production end-to-end process

Proficient in project management, knowledgeable in excel, research skills

Good communication skills, interpersonal skills, initiative (can work with minimal supervision), keen to attention to details, and service support oriented

Knowledgeable on process improvement, cost and general accounting

License/Certification and Training Requirement: Project management is encouraged
