Administrative Coordinator Academic Support

School of Health Sciences

St. Edward’s University of Austin, Texas invites applications for the position of Administrative Coordinator for the School of Health Sciences. The Administrative Coordinator for Academic Support is responsible for providing administrative, logistical, and operational support for all aspects of the assigned academic program(s). This includes support required by the academic leadership team, faculty and students. The incumbent interacts regularly with academic support personnel and other departments across the campus and the University concerning all aspects of program operation.

For consideration, we seek a candidate with the following:

EDUCATION and/or EXPERIENCE

Minimum of high school diploma or equivalent; bachelor’s degree or vocational training in office skills highly preferred.
Minimum of two years of experience as administrative support personnel.
Intermediate to advanced experience with Microsoft Office products such as Windows, Word, Excel, PowerPoint. Experience with BOX, Google Docs, and Smartsheets preferred. Knowledge of a wide range of technology platforms, both those used by foundations and by the College, including Word/Google tools, Smartsheet, Banner, Argos, and Adobe, for example.
Ability to adapt to new platforms such as website maintenance, calendar and meeting scheduling platforms (e.g., Handshake, Calendly, Google Calendar), varying meeting platforms (e.g., Zoom), and other CRM software, Google Suite, Microsoft Office Suite, Smartsheet, Adobe Sign, and others as needed.
Attention to detail and follow-through
Excellent communication skills, both verbal and written, including communicating with tact and discretion.
Must have excellent project management skills, the ability to manage competing priorities, and the ability to build and maintain strong partner relationships.
Demonstrated ability to establish and maintain positive working relationships with the public, supervisors, students, professional staff/faculty and co-workers.
Excellent organizational, oral, and written communication skills
Able to work with a diverse population of students, faculty and staff.
Able to prioritize and monitor the progress and performance of the project activities and deliverables
Strong organizational and multitasking skills.
Excellent analytical and problem-solving skills. Ability to exercise and apply sound judgment and decision-making skills.
Ability to handle highly confidential material.
Maintains strong adherence to privacy, including FERPA, HiTech, HIPPA.
Demonstrates acumen for multiple agencies associated with the School of Health Sciences.
Willingness to work a flexible schedule when required.
Must possess the ability to successfully pass a criminal background check.

Essential Responsibilities Include:

Event Coordination, Support and Logistics to include assisting in the planning and preparation of all academic-related events including planning (as needed) for commencement, student organizations, white coat and pinning ceremonies, program retreats, and guest speaker engagements.

Attend all academic events to provide on/off campus support; may require occasional weekend and evening hours.

Serve on campus committees and collaborative efforts/events and meetings as needed.

Program Administration including management and maintenance of projects for the program, school, and university including, but not limited to, faculty credentials and documentation, course syllabi and booklist, student status rosters, assessments, and contact lists.

Assisting with acquiring faculty accreditation documentation to include annual CEUs, updated CV, licensure requirements, etc., and coordinating across departments to ensure required information is captured in the accreditation files in a timely manner.

Assisting with the coordination and scheduling of candidate interviews including meeting invitations, preparing onboarding schedules, room preparation and set-up.

Oversight of the day-to-day functions of the program and university related activities.

General Administration such as scheduling meetings, maintaining files, expense tracking reports, travel arrangements, taking meeting minutes, delivering materials to the classrooms, and business card requests.

Serve as a campus contact for faculty, staff, students, alumni, visitors, or outside agents to relay program, school, and university information, policies, procedures, and activities.

Faculty Support through coordination with Program Directors to compile contributing faculty assignments.

Assist in training faculty on departmental policies and procedures for travel, expenses, files, file storage; supplies and general day to day operational support.
