About the Role
We are seeking a highly organized, tech-savvy, and proactive Administrative Operations Coordinator to oversee the backbone functions of our thriving ABA practice. This mid-to-senior level position supports the daily, weekly, monthly, and annual administrative cycles that keep our two-clinic operation running efficiently — from financial oversight to HR support, systems coordination, and compliance tracking.

Key Responsibilities
Manage and maintain billing logs, accounts receivable (A/R) reports, and financial documentation (including QuickBooks).
Oversee medical billing compliance, Medicaid eligibility verification, and follow-up on claim denials and reprocessing.
Track staff timesheets and payroll processing on a biweekly basis.
Collaborate with leadership on utilization management, insurance audits, and 401k administration.
Maintain and update operational systems including HR platforms (e.g., Namely), internal spreadsheets, and webinar compliance logs.
Support office managers and clinic directors with roster updates, open enrollment tasks, and annual financial tracking.
Conduct registry checks, manage invoices, deposit logs, and other finance-related tasks on a rotating schedule.
Qualifications
Education: Bachelor’s or Master’s degree preferred. Candidates without a degree may be considered with extensive, relevant experience.
Experience: 3+ years in administrative operations, preferably in a healthcare or behavioral health setting.
Certifications (Bonus): Medical billing and/or bookkeeping certifications.
Technology Skills: Proficiency with QuickBooks, Microsoft Excel, HR software platforms, and Google Workspace.
Core Competencies:
Highly organized with exceptional problem-solving abilities.
Strong written and verbal communication skills.
Ability to prioritize tasks, work independently, and coordinate across multiple teams.
What We Offer
Competitive Salary: $60,000 – $75,000, plus performance-based bonuses.
