DMK Development Group is a midsized Louisville Developer and Commercial GC with a growing regional footprint from Wisconsin to Florida. With approximately 20-25 employees working in our corporate office and another 25-30 in the field, our company is looking for a well-seasoned Office Manager & HR Administrator with a positive, collaborative spirit. The Office Manager & HR Administrator, in many cases, is the face/voice of DMK. Often, they are the first to greet clients, prospective employees, vendors and associates when calling or arriving for virtual or in-person meetings and are vital to a great visitor experience. Internally, they are critical to our production engine; supporting our team with document and data management, payroll and benefits administration, travel arrangements, and overall positive workplace experience. This is a role which requires wearing many hats to “own” the operations of a well-run, beautiful East End office!
Primary Duties:
Office Management and Administration
Answer, screen and transfer inbound phone calls (low to moderate phone traffic)
Receive and direct visitors and clients (very low in-person traffic)
General clerical duties including scanning, e-mailing, and calendar management
Open, sort and distribute incoming mail; manage outgoing mail and overnight envelopes
Maintain electronic and paperless filing systems, retrieve, sort, and handle requests for data information or research
Prepare and modify documents including reports and trackers (heavy Excel use)
Schedule and coordinate meetings, appointments and travel arrangements for managers or supervisors
Coordination of meeting-based food and beverage (e.g. lunch meetings)
Maintain office and breakroom supply inventories
General supplies and equipment purchasing for business office and field offices
Coordinate setup and maintenance of office equipment
Receive and process deliveries
Generate ad hoc reports and other miscellaneous documents as needed
Event support, planning
Task and meeting reminders and follow up with executive team
HR Support & Administration
HR point of contact to managers and employees
ADP Total Source use for payroll and benefits administration including 401k reporting, enrollments, terminations, status updates, vacation/PTO tracking, leaves of absences, open enrollment and troubleshooting employee support issues
Work with hiring managers to facilitate recruiting needs including job descriptions, placing ads, initial qualifications, and on-board new hires (company has low turnover)
Recordkeeping includes maintaining employee and HR information in ADP portal and internal trackers
Maintain a positive organizational culture in line with the company’s values and business priorities
Plan, direct, and coordinate employee engagement activities
Qualifications
Proficient with Microsoft Office Suite, etc. Positive and professional demeanor
Resourcefulness and attention to detail
Proven ability to collaborate with others and shepherd assignments to completion
Exceptional communication and time management skills
ADP Total Source, Jazz HR, and Sage Paperless Construction experience is a win.
