Position: Administrative Clerk (Guardian Scholars)

Program Description

The Guardian Scholars Program (GSP) at Santa Ana College provides holistic, student-centered support for current and former foster youth, empowering them to thrive academically, personally, and professionally. GSP serves Transitional Age Youth (TAY) and older foster youth by offering a comprehensive range of services aimed at fostering academic achievement, promoting self‑sufficiency, and preparing students for meaningful career and life transitions.

Duties and Responsibilities

– Perform difficult and specialized clerical work requiring detailed knowledge of department procedures, policies, and precedents.

– Initiate and complete complex tasks independently and assume responsibility for special projects, preparing related reports.

– Assist in research for special reports and may lead and coordinate work of lower‑grade clerks.

– Interpret rules and procedures in the supervisor’s absence (with approval) and coordinate clerical workflow among office staff.

– Prepare complex documents and related duties as required.

– Coordinate processing, recording and filing of a variety of documents, maintain cost records and complex attendance or other statistical records.

– Handle difficult and complex public relations and coordinate data for computer input related to continuing and special projects.

– May perform sub‑professional administrative duties, lead clerical assistants, maintain schedules or calendars for workers, update schedules and catalogues, and coordinate office workflow.

Training and Experience

High school diploma or equivalent and any combination of training and/or experience equivalent to four years of progressively responsible experience in general clerical work, including one year in work involving some independent responsibility for a clerical activity.

Knowledge and Abilities

Thorough knowledge of:

  • Office machines and filing systems; modern office practices and procedures; departmental practices and procedures; college rules, regulations, programs and policies; suitable or designated formats for presenting reports.

Ability to:

  • Make decisions in accordance with laws, ordinances, regulations and established procedures of the department; establish and maintain effective public relations; prepare accurate financial and statistical reports; operate office equipment including personal computer terminals and a variety of word processing and business applications.

Additional Qualifications

Candidate must demonstrate clear evidence of sensitivity to and understanding of the diverse academic, socioeconomic, cultural, ability, and ethnic backgrounds of community college students, staff, and the community.

Interview

Applicants selected for an interview may be required to take additional tests or assessments. During the oral session, interviewees will be evaluated on oral communication skills, presentation, problem‑solving skills, and other factors.
