At The Kendal Corporation (TKC), we are committed to creating a supportive and collaborative work environment that fosters our team’s success. We are currently looking for an Executive Support Coordinator to join our corporate office and provide exceptional administrative support.
The Executive Support Coordinator serves as the primary point of contact for the corporate office, acting as a gatekeeper while providing comprehensive support to TKC staff under the guidance of the Executive Assistant to the CEO. This role requires a high level of customer service, strong organizational skills, attention to detail, and discretion in handling confidential information.
Key Responsibilities
Providing Administrative Support: Develop reports, schedule meetings, take and transcribe meeting notes, and follow up on action items to ensure smooth operations.
Office Management: Maintain an optimal work environment, manage office equipment, and coordinate with building management.
Handling Communications: Manage incoming calls, emails, and greet guests effectively, reflecting the organization’s professionalism and customer service standards.
Collaboration with Internal Associates: Collaborate with internal teams on projects and initiatives to promote a cohesive and collaborative work environment.
Special Meetings and Events: Help organize staff meetings and recognition events, effectively contributing to team engagement and morale.
Collaborating with Finance: Code and reconcile invoices, expense reports, and credit card statements to maintain financial integrity and ensure budget compliance.
Budget Management: Prepare and monitor specified budget line items to align expenditure with allocated funds.
Logistics for Leadership Forum and Executive Events: Manage logistics for these high-level events to ensure successful and professional execution.
Board Committee Support: Serve as the primary backup for board committee activities to ensure that operational efficiency is maintained in critical governance.
Backup System Administration: Act as a backup Board Effect System Administrator by providing support and training for system users, crucial for maintaining operational continuity.
Onboarding New Hires: Ensure a seamless onboarding process to promote a positive experience for new employees and contribute to retention and integration.
Competencies needed include:
Demonstrating effective communication skills in both written and spoken English.
Maintaining a strong customer service focus in all interactions.
Prioritizing responsibilities and working independently.
Utilizing critical thinking, organizational abilities, and strong interpersonal skills.
Ensuring the strict confidentiality of sensitive information.
Education & Experience:
A degree in Business Administration or a related field is preferred, with relevant certifications in administrative support or office management considered a plus.
Alternatively, a Diploma or Certificate in Executive Assistance, Office Management, or Business Support, combined with extensive experience, may be acceptable.
Candidates should possess 3 to 5 years of experience in an administrative support role, along with experience in project management and office operations.
Proficiency in the MS Office Suite, including Outlook, Word, PowerPoint, and Excel is required.
