Job Summary
To provide administrative support for the Minnesota State Patrol West Metro District 2500 office. To provide receptionist, telephone and customer service by answering questions and providing the appropriate information to callers, walk-ins and D2500 personnel. To act as the initial point of contact between the court system, city and county attorneys, jails and other criminal justice stakeholders and to direct the above agencies/persons to the proper State Patrol District personnel. This position ensures proper filing of tickets and warnings along with corrections involving eCitation.
Qualifications
Minimum Qualifications
Knowledge of communications sufficient to write, prepare, and edit materials, using correct spelling, punctuation, grammar, and sentence construction.
Present clear and concise explanations of governing rules and regulations in a manner that is understandable.
Ability to answer questions politely via phone, email, and other written or electronic correspondence.
Knowledge of standard computer software programs for word processing, spreadsheets, and databases sufficient to create, modify, and protect files.
Skill in typing/keyboarding, using Microsoft Word or equivalent software, sufficient to produce documents such as emails and other correspondence in an efficient and timely manner.
Skill in customer service to respond effectively to clients, coworkers, and customers who have questions about agency operations and procedures (in person, in writing, on the phone, and through presentations and other electronic correspondence.)
Respectfully engage with clients, coworkers, and customers, when handling difficult or complex problems and resolving escalated complaints or disputes.
Preferred Qualifications
Familiar with SWIFT (Statewide Integrated Financial Tool System), Employee Self-Service, CAD, data privacy rules, policies and procedures.
Database management.
Effectively use a multi-line telephone system.
Ability to work cooperatively with individuals from diverse backgrounds and underserved communities.
Physical Requirements
Light: Requires occasionally moving and transporting such articles as file boxes and heavy hand tools or heavier materials with help from others, and moving and transporting light objects frequently. Even though the weights being moved and transported may be a negligible amount, a job in this category may require positioning self to move to a significant degree or may involve maintaining a stationary position for extended periods.
