Receptionist/Administrative Assistant

We are currently seeking a highly organized and professional Receptionist/Administrative Assistant to join our team in the Commercial Real Estate industry. The ideal candidate will serve as the first point of contact for our clients and visitors, providing exceptional customer service and administrative support to ensure smooth operations within our office. This role requires a detail-oriented individual with strong communication skills, a professional demeanor, and the ability to manage multiple tasks effectively. As a Receptionist/Administrative Assistant, you will be responsible for answering and directing phone calls, managing correspondence, and assisting with office management tasks. Your organizational skills will be critical in maintaining an efficient office environment, while your proactive approach will contribute to the overall success of our team. In this position, you will collaborate closely with various departments.·

Guest Services:

Answer phones and greet visitors.
Provide general support to guests and answer inquiries regarding leased properties.

Administrative Duties:

Manage the phone system.
Maintain office equipment, including computers, copiers, postage, telephones (landline & cell), and other office technology.
Inventory office supplies and place orders as needed.
Perform general administrative duties, such as filing, typing, copying, binding, scanning, folding, and mailings.
Sort and distribute daily mail.
Keep office organized, including kitchen and break room maintenance; ensure proper supply levels and cleanliness (e.g., running dishwasher, stocking supplies).
Participate in billing and accounting tasks, including bank runs, invoicing, scanning, and filing.
Assist with updating monthly sales reports for leased properties.
Provide event planning support.
Assist with managing the Annex parking lot rental during the UK Basketball season.
Assist owner with personal requests (e.g., running errands, house checks, airport pickups).
Other duties as assigned.

Required Skills & Qualifications:

Proven administrative or assistant experience.
Strong time management skills with the ability to multi-task and prioritize work effectively.
Exceptional attention to detail and problem-solving abilities.
Excellent written and verbal communication skills.
Strong organizational and planning abilities.
High level of professionalism, discretion, and ability to maintain confidentiality.

Job Type: Full-time

Pay: $19.00 – $23.00 per hour

Expected hours: 40 per week
