Position Summary:

We have an exciting opportunity to join our team as an Administrative Coordinator.

In this role, the successful candidate is responsible for providing a wide variety of administrative support. Coordinates and maintains
departmental calendars, creates and maintains various reports and databases and other related administrative duties for the Residency Training Program. Exercises independent judgment in the resolution of administrative concerns and issues. Provides guidance to the work of support staff at Bellevue as needed. Preforms GME related duties as needed. Works under general direction of Chief of Neurosurgery division at Bellevue, Program Education Manager, and Departmental Administrator

Job Responsibilities:

Provides administrative support to the Division Chief, Neurosurgery faculty at Bellevue Hospital, Program Education Manager, and the department to maintain and improve the workflow level and efficiency.
Acts as liaison with Bellevue hospital administration, Human Resources, Medical Records, Graduate Medical Education office, and all other administrative offices. Informs department of any changes in policies or regulations.
Scheduling/Coordinating – Manages calendar, makes complex scheduling arrangements involving multiple parties and conferences under minimum direction. Setup and coordinate meetings and conferences, cancel meetings based on knowledge of the subject and attendees. Recognizes and identifies information that can be disseminated and to whom, assists with special events planning. May organize travel logistic arrangements and itineraries as needed.
Coordinates departmental ‘observers’ credentialing/on-boarding process. Work closely with faculty and/or principal investigators. Ensures administrative paperwork is complete and processed according to departmental, medical directors’ office, and institutional guidelines.
Coordinates departmental ‘non-traditional volunteers’ (NTV) credentialing/on-boarding process.

Assists Education Program Manager with ACGME residency training requirements. Incoming GME resident applications and interview process. Gathers and collects data, answers questions from candidates regarding process. Preparation of ACGME semi-annual reviews and GME annual program review.
Maintains residents and faculty current and alumni files according to the ACGME file requirements.
Maintains and monitor the resident’s and faculty’s scholarly activity data.
Act as backup for the CME coordinator for all educational events including Neurosurgery Grand Rounds and all other conferences. Documents information for annual application of CME credits of attending physicians, residents and clinical staff.
Complete all residency training and alumni verification requests and forms.
Purchases all necessary supplies, equipment and coordinates purchasing of other services for department and residency program as necessary. Assists in planning and ordering catering for all educational functions regarding education and training.
Performs general clerical duties (photocopy, fax, mail, files, etc.) as needed.
Assist with annual IPRO, JCAHO and other survey preparations.
Performs other duties as assigned

Minimum Qualifications:
To qualify you must have a Bachelor’s Degree required with 2 years of relevant experience, or the equivalent combination of education and experience. The successful candidate must also possess excellent interpersonal, verbal and written communication, and organizational skills. Knowledge of standard office software is essential, including proficiency with word-processing, spreadsheet and database software (e.g., Microsoft Office, preferred). Ability to multi-task and/or coordinate multiple assignments is required. Ability to interpret and implement policies and procedures, and effectively communicate detailed information to a diverse population, both verbally and in writing; excellent problem-solving skills is required.

Preferred Qualifications:
Five years of responsible administrative experience. Qualified

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $62,400.00 – $87,905.09 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
