Job Title: Real Estate Assistant Administrator

Job Description:

We are seeking a Real Estate Assistant Administrator to join our team. This role is pivotal in ensuring the seamless operation of our team by providing comprehensive administrative, marketing support and superior customer support. This position offers a unique blend of responsibilities, from daily administrative tasks to executing marketing initiatives, making it ideal for a versatile professional passionate about real estate.

Key Responsibilities:

1. Administrative Support:

– Assist in the preparation and organization of presentations and transactions.

– Calendar critical listing and escrow transaction dates

– Manage and update client databases and CRM systems. Google and apple contact.

– Manage checklists and calendar

– Maintain a high level of confidentiality with sensitive client information.

– Manage Dropbox folders, ensuring proper naming and filing structure.

– Review emails for necessary actions and maintain updated contact lists.

– Provide white glove client service

– Provide secondary response to calls from clients, agents, lenders, and title companies.

– Support agent with current and past client follow up – calls, emails, gifts

– Help with Holiday cards and gifts

2. Marketing Duties:

– Organize and dispatch monthly mailers and maintain marketing pages for listings.

– Confirm advertising dates and coordinate placements.

– Design, proof, get agent approval and distribute traditional marketing materials like flyers and brochures.

– Send physical mailings

– Post listings on the various Compass marketing sites

– If vineyard or land listing, post on loopnet & winebusiness.com

– Optimize website content for SEO and perform regular updates.

– Upload listing info to website, social media sites, and enhance listings on Realtor.com, Zillow, Trulia, etc.

– Develop with agent online marketing campaigns, including email marketing and digital ads.

– Generate postcards to send out – Just Listed, Under Contract, Just Solds (varies per property)

– Monthly marketing summary

3. Database and Lead Management:

– Maintain and update client databases.

– Collaborate with Agents to manage leads, set appointments, and conduct follow-up communications.

Qualifications:

– Prior experience in real estate support or a similar administrative role is preferred.

– Strong organizational and multitasking skills with attention to detail.

– Excellent communication skills, both written and verbal.

– Ability to work independently and as part of a team.

– Familiarity with digital marketing tools and strategies is a plus.

Job Type: Part-time

Pay: $25.00 – $30.00 per hour

Expected hours: 10 – 20 per week
