This position will contribute to the efficient day-to-day operations at GENEX headquarters, including but not limited to, producing documents using various software programs necessary to support GENEX personnel, assist with coordinating meetings, and process and print mailings.

Major Areas of Accountability

Assist staff by maintaining and/or creating spreadsheets, letters, memos, databases, labels, processing dictation, assisting with mailings and handling any other documents as needed and required to meet staff needs. Assist and guide visitors and guests to the office building. Assist staff with various administrative duties as needed.
Maintain education and knowledge level of computer systems and programs, as well as grammar, spelling and punctuation to assist staff needs. Stay educated on agriculture and animal health language and terminology to assist in producing high-qualify documents. Maintain datafiles and lists as requested.
Assist with coordinating meetings for staff by making meal accommodations, typing agendas, itineraries and other documentation. This includes making copies, providing supplies, serving refreshments or meals and handling clean-up as deemed appropriate. Assist with hotel and travel arrangements, conference calls and other needs as directed.
Proofread all material produced. Update and create procedures for the Office Services Standard Operating Procedure (SOP) documents as assigned projects and duties change. Maintain a professional, clean and clutter-free appearance of your work.
Assist others with their needs regarding photocopiers, printers and scanners.
Promote and adhere to safety in the workplace.
Perform other duties and assume other responsibilities as assigned.

Qualifications

Proficient in Microsoft Office Suite.
Strong communication skills, both written and verbal.
Strong proofreading and grammar skills are a must.
Strong attention to detail and the ability to prioritize tasks as assigned.
Willingness to develop and grow both personally and professionally.
Valid driver’s license.
