Position Overview:
The Administrative Director will provide high-level administrative support to the Executive Director and Circular CRV Association leadership team, ensuring smooth and efficient operation of daily activities on behalf of the Dealer Cooperative. This position is key to supporting the organization’s strategic objectives through effective office management, grant compliance, and capital asset management. The Director will be critical in managing cross-functional tasks, maintaining strong communication channels with stakeholders, and ensuring alignment with organizational goals.

Summary of Responsibilities (not comprehensive of all tasks):
Administrative Support
Executive Director Support: Provide executive-level administrative assistance by tracking the progress of multiple projects simultaneously, managing calendars, and ensuring timely completion of assigned tasks.
Office Administration: Oversee day-to-day office operations, including coordinating meetings, managing vendors, and handling correspondence. Ensure all office equipment and supplies are maintained and purchased in working order to support C-CRV’s smooth operation.
Board Support: Prepare materials for Board meetings, including agendas, reports, and presentations. Take detailed meeting minutes and ensure the timely distribution of documents. Facilitate smooth communication between the Executive Director, leadership team, and Board Members to ensure transparency and effective decision-making.
Other duties as assigned by the Executive Director.
Grant Compliance
Grant Administration and Reporting:
Support C-CRV in tracking active private donor and State-funded (CalRecycle) grants, ensuring compliance with all grant requirements, and preparing timely progress reports. Collaborate with the Executive Director, Stewardship & Grants Officer, and leadership team to meet all deadlines.
Documentation and Compliance:
Prepare and maintain necessary documentation for all grant reimbursement submissions, including detailed reports, proofs of purchase, and other required supporting documents to ensure reimbursement eligibility. Submit accurate and complete records through grant management platforms as necessary, ensuring full compliance with all grant terms and conditions. Keep all documentation organized and accessible for audit purposes and ongoing compliance monitoring.
Consumer Communication
Consumer Inquiries: Act as the primary point of contact for the public’s questions and inquiries via phone, email, and the company website. Ensure all inquiries are addressed promptly and accurately, forwarding information to the appropriate team member for follow-up.
Web Content Management: Regularly update and manage the information on the C-CRV website, ensuring that all content is accurate, up-to-date, and aligned with the company’s messaging.
Capital Asset Management
Oversee the management of all company assets, including but not limited to real estate, vehicle(s), and miscellaneous equipment.
In This Role, You’ll Bring with You:
Proven experience in administrative or executive support roles.
Strong organizational and time-management skills with the ability to prioritize tasks.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other office software.
Ability to maintain confidentiality and handle sensitive information with discretion.
Strong planning, organization, and communication skills, both written and verbal, with the ability to present effectively.
Previous exposure to cross-functional work between different departments is preferred.
Desire to learn about the CRV recycling ecosystem and understand the Dealer Cooperative to enhance communication and operational efficiency.

Physical Demands:
Employees may occasionally experience prolonged periods of sitting at a desk and working on a computer. Must be able to lift to 15 pounds at a time.
Traditional office environment but may require nonstandard workplaces.
At times, will work evenings, weekends, and overtime hours to accommodate activities such as Board meetings and representing the organization at public events.
Job Type: Full-time
Pay: $95,000.00 – $115,000.00 per year
