Background:The Cashion Cultural Legacy(CCL) is committed to sustaining the preservation, presentation, and education of Mexican folk culture through dance. In honor and recognition of Dr. Susan V. Cashion and her many contributions to the dance world, the CCL pursues this mission by hosting two professional Mexican folk dance companies, offering accessible dance classes to the community, operating an artist exchange of dancers, directors, and choreographers between California and México, and managing a nascent publications project.

Position

Cashion Cultural Legacy is hiring an administrative coordinator to join our organization. We’re looking to invest in a candidate who is interested in team leadership, upward mobility, and the opportunity to work in a fast-paced, high-energy work environment. Responsible for the coordination of the team’s overall administrative and logistical needs related to contracting performances and artists, coordinating volunteers, responding to inquiries and travel coordination. Strong communication skills to speak with internal and external customers.

Responsibilities

Coordinates meetings for the artistic team, company onsite and offsite events as assigned, including travel for special programs for the performing company.

Assist with special projects and reports as needed; Support and coordinate project deliverables to meet deadlines and ensure oversight of projects to completion.

Collaborative partnership with all team members to ensure support and successful completion of tasks and projects.

Respond to inquiries in a timely, friendly, and efficient manner.

Identifies potential problems, initiates follow-up, and appropriately escalates issues to the necessary leaders.

Manage the coordination of volunteers, travel and itinerary for the artist exchange program.

Provides overall administrative support to the leadership team inclusive of the CCL Board of Directors, preparing reports/presentations, handling correspondences, receiving visitors, arranging conference calls, and scheduling meetings.

Arranges and monitors cost-effective vendor and travel arrangements and processes reimbursements for business related expenses, including administration staff personnel.

Responds to general information requests addressed to Executive Leadership and proactively provides coverage in the absence of members of the Executive team.

Serves as primary contact and resource for suppliers, vendors, and systems.

Manages flow of information from multiple sources to appropriate department or staff member, including mail, requests for approvals, and other documents requiring input or signature.

Accurately enters/updates data and ensures integrity of relevant databases, including those related to vendors, contracts, and certain programs.

Management of donor-related tasks; processing of donations, development, and distribution of thank you cards and Giving Tuesday.

Other duties as assigned.

Qualifications

Minimum of 2 years of administrative experience (inclusive of scheduling and travel coordination)

Strong written and verbal communication skills are required

Demonstrate consistency, reliability, accuracy and thoroughness, and attention to details

Positive and upbeat demeanor

Able to work both independently and as a team

Self-starter and thorough in their work

Problem solver, resourceful in identifying problems and providing resolutions

Experience with Microsoft Office and Google …
