Job Summary: The HS Administrative Assistant must be a positive, welcoming, competent, and computer savvy person with a “how can I help” mentality. This position is the “face of the high school” and must set a welcoming and positive tone for every student, staff, parent entering the high school office. This position is the ultimate support position, and the successful candidate must be able to provide assistance in a wide range of areas, including a high proficiency in computer/phone skills and the ability and comfort to learn new systems (Google Apps for Edu, FACTS, Canvas, rschools, Arbiter, and the website). This position must be organized and productive to juggle a variety of daily/weekly tasks (outlined below) and be able to handle confidential information such as student records and school information.

Key Responsibilities:

The HS Administrative Assistant will …

Support the HS Principal, Athletic Director, and teachers by completing tasks assigned and supporting them throughout the day.
Maintain a welcoming office environment for students, parents, and staff through a positive, helpful, “can do” attitude.
Manage all attendance for the HS (and some MS)
Record morning (day) attendance for all HS and MS students.
Confirm morning attendance with teachers.
Check attendance voicemail/email accounts for parent messages.
Record excused absences in Renweb and contacting parents in the case of discrepancies.
Record period specific tardies for HS as reported by teachers in FACTS (and morning tardies for MS).
Set up automatic emails to parents/students to alert them of certain levels of absences and tardies (as decided upon with principals).
Manage Check-in for Substitute Teachers (HS)
In coordination with the HS Principal, track substitute teacher needs and sub fulfillment.
Meet and orient the substitute teachers who arrive to fill in for an absent classroom teacher.
Manage substitute payment forms for teacher and the sub.
Meet weekly with high school principal and athletic director
Communication
Manage the phones.
Answer questions from faculty, staff and students as they arise.
Monitor transportation, voucher codes, high school Google Hangouts
Marketing and Promotional Materials to promote HS and school-wide events.
Promote the HS programs by making sure upcoming events are in the school newsletter, bulletin boards, on social media (content team), and emailed to parents as needed.
Use a critical eye on communication/promotion of events so that the high school is shown positively.
Maintain the bulletin boards in the high school hallways.
Maintain HS and Athletics website pages on the school website
Double check events are correctly placed on the HS News / website, school website, and google calendar.
Support the school by updating/creating documents for internal or external (the website) use, e.g., school classroom map, profile, calendars.
Create / order promotional materials … banners for the plays/musicals, senior class signs, t-shirts, etc.
Manage FACTS and/or Canvas as an Admin
Training required to use FACTS (and possibly Canvas) effectively as an administrator.
Ensure new/existing students are set up properly in FACTS
Run academic eligibility, missing assignments, attendance, and others as needed.
Academic progress reports as needed by the principals.
Maintain the Calendars (barn doors in AC, Google DCS Master) and Website to communicate well with our school families.
Assist with end of the day carline operations, as needed.
Support Sick/injured staff and students
Medication (training in medicine distribution needed)
Maintain a current CPR/First Aid certification
Manage Bell / Intercom
Event Planning / Support / Coordination
Support HS Events; graduation, NHS, Honors Assembly, Registration Night, Discovery Week, Prom, etc.
All School – Admissions Events, PD meals, P/T conferences
Locker Management – assign lockers
Ordering Curriculum and Office Supplies
Curriculum / Textbooks for teachers
Office Supplies for the Teacher workrooms
Point of Contact for School Wide Photographer
Picture Day
Manage Records / support counseling
Maintain withdrawn, old students
Support Counselor with outgoing graduate data
Create FACTS forms for incidental payments
Student’s trips/events
Athletic fees
Assist with Emergency management drills
Check assigned campus area with administration
Maintain Athletic Schedules in rschools and website (google master DCS and facilities)
Maintain team rosters and collect fees
Confirm student and coach registration in rschools (including athletic physicals)
Print rosters for each home game
Create FACTS Forms for billing student athletic fees
Communicate to families regarding payment
Communicate with business office about charges of athletic fees
Game confirmation
Confirm officials, send out email with game information
Work with ADs to pay officials (checks or ArbiterPay)
Confirm competitions with other schools and request rosters
Confirm staff for game management duties, send email reminders
Manage gate / ticket sales
Cash boxes, money count after contests
Square or Venmo management
Inventory Management
Work with ADs to manage inventory for athletic equipment and uniforms

Special athletic events
Assist in the organization and implementation of team banquets, senior nights, tournaments, fundraisers, etc.
Transportation/Early Dismissals
Assist in the organization and communication of transportation for away events on a weekly basis with AD’s, transportation director, and coaches

Assist in communication with

A professing Christian, actively involved in a local Christian church, and aligned with the school’s statement of faith
1-3 years’ experience preferred, serving in an administrative assistant capacity or equivalent.
Strong technical skills including use of school database and communications systems, word processing, spreadsheets, Google Workspace, and data visualization software.
Maintain strict confidentiality and handle sensitive information with discretion required
Ability to organize, work independently, and prioritize tasks effectively.
Strong verbal and written communication
Knowledge of general school office procedures.
Excellent time management and organization abilities.
