Position Summary:
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support our executive leadership team. The ideal candidate will have excellent communication skills, a strong ability to multitask, and a high level of discretion and professionalism. This role is essential to ensuring smooth operations and helping the executive(s) maximize their productivity and impact.
Essential Functions:
Manage and maintain executives’ calendars, including scheduling meetings, appointments, and travel arrangements.
Maintain up-to-date internal phone list for Corporate and US Offices
Open, sort, and distribute incoming correspondence, including faxes and email
Create shipping labels for Fed/Ex, UPS shipments
Prepare and edit reports, presentations, and other documents.
Serve as the primary point of contact between the executive and internal/external providers.
Handle confidential information with the utmost discretion.
Coordinate logistics for meetings, including venue booking, catering, and technology setup.
Track and follow up on project timelines, deadlines, and action items.
Assist with personal tasks and errands, as needed (if applicable).
Support event planning and company-wide communications as needed.
Schedule and manage travel arrangements for staff – throughout the year and for large company events
Conduct research and compile information to support executive decision-making.
Maintain supplies inventory by checking stock to determine inventory level
Maintains safe and clean reception and break area
Complete special projects as required from Executive Management
Qualifications:
Proficiency in Microsoft Word, Excel, PowerPoint and Access
Dependability – reliable, responsible, and dependable, and fulfilling obligations
Excellent customer service skills
Excellent Telephone Skills, Verbal Communication, Listening, Professionalism, Customer Focus
Ability to Handle Pressure in a professional manner
Ability to excel in a fast-paced, constantly changing environment

Required Skills:
2+ years of corporate administrative experience
Experience in Microsoft Office Suite
Must be able to perform in a fast past environment with multiple priorities
Job Type: Full-time
Pay: $52,000.00 – $54,500.00 per year
