Job Overview
Commercial Glass, Inc is a glazing subcontractor based in Boise, Idaho since 1981, with both a contract glazing and automatic door service division. We are seeking an Administrative Assistant to assist the General Manager and office personnel in daily administrative tasks and efficient operation of the company. This position plays a key role in ensuring smooth office workflow and is often the first point of contact for visitors, clients, and vendors.
The ideal candidate will be dependable, organized, and able to manage multiple responsibilities with professionalism and accuracy. Duties include answering phones, managing emails and correspondence, maintaining records, managing office calendars, assisting with billing and documentation, and providing general office support as needed.

Job Duties and Responsibilities
· Answer and direct calls on a multi-line phone system
· Manage office general email
· Collect and distribute the mail
· Welcome and assist walk-in customers and vendors
· Send invoices for service and contract jobs
· Review open invoices and follow up on overdue payments
· Processing credit card transactions
· Maintain physical and digital filing systems
· Review unfilled and filled purchase orders
· Respond to requests from customers and general contractors for paperwork and lien waivers
· Post inventory cost on contract jobs folders
· Manage business licensing renewals
· Schedule vehicle maintenance as well as maintain vehicle records and reconciling gas recipes
· Prepare accounts payable invoices and bills
· Assist with paperwork for new hires
· Manage office calendars
· Perform light office cleaning such as sweeping and dusting
· Monitor and order office supplies
· Organize company events such as summer picnic and Christmas party
· Maintain up-to-date employee holiday records such as birthdays and anniversaries
· Website management
· Other duties as assigned
Required Skills & Qualifications
· Proven administrative experience
· Experience in Microsoft Office Suite (Word, Excel, Outlook, Teams)
· Time management skills and ability to multitask and prioritize work
· Ability to work independently and collaboratively to solve problems
· Strong organizational and planning skills
· Strong decision-making skills
· Strong written and verbal communication skills
· Aptitude for learning new software and systems
· Ability to become a certified public notary in the State of Idaho
· High school diploma or equivalent
