DescriptionThe Division of Apprentice Standards (DAS) is responsible for promoting, developing, and servicing registered apprenticeship programs in the Commonwealth of Massachusetts. The Administrative Coordinator is a highly organized problem solver with strong communication skills who serves as an administrative support person to senior management, assisting with program support, office administration, event coordination and scheduling.

Duties And Responsibilities

Supports Director and Undersecretary with scheduling of activities, usage of zoom, Microsoft Teams, and outlook calendar management.

Coordinates and administratively supports the Apprenticeship Council including scheduling, compliance, report preparation, member outreach, and related duties.

Responds to sponsor, constituent, and stakeholder inquiries with strong customer service skills.

Ensures coordination and compliance with established DAS standards, regulations, policies, and operating protocols.

Exhibits knowledge of and experience with the ePlace portal system and apprenticeship database to provide technical assistance as needed.

Participates in special projects and working groups to accomplish agency objectives and goals.

Develops and maintains records and files relating to apprenticeship.

Attends meetings, taking meeting minutes and reporting back to the Senior Operations Coordinator/agency teams as necessary.

Acquires a working knowledge of the responsibilities of each DAS Team and supports their processes as feasible.

Sends data and other correspondence to partner agencies, both federal and state, as assigned.

Provides technical assistance and advice to people both inside and outside the Agency on issues related to apprenticeship and regulatory requirements.

Visits sponsor sites with DAS staff as needed to enhance quality assurance efforts and review sponsor procedures.

Types reports, letters, memoranda, and related forms, and assists the work of the Department as assigned.

Assists in the compilation of monthly performance measures reports for the agency.

Assists with records retention schedule as necessary.

Supports implementation and administration of EOLWD Apprenticeship maintenance and expansion projects.

Actively participates in trainings, meetings, conferences, and other professional development opportunities.

Works in concert with other administrative coordinators to assist with onboarding activities, staff meetings, information dissemination and location, supply ordering, office, and production room organization, collaborates on best practices and process improvements and presents to leadership.

Utilizes various technologies, including remote applications, to effectively administer work.

Preferred Qualifications

Preferred Qualifications:

Intermediate computer skills including use of Microsoft Office Suite: Word, Excel, PowerPoint, and Outlook.

Ability to navigate proprietary database systems. Knowledge/familiarity with and usage of SharePoint, Microsoft Teams, and remote communication platforms: Webex, Zoom, Go-To Meetings.

Strong organizational, interpersonal, verbal and written communication skills. Ability to write concisely to express thoughts clearly, and to develop ideas in logical sequence.
