Primary Purpose:
Work under minimum supervision to ensure the efficient operation of the superintendent’s office and provide clerical services to the superintendent and board of trustees. The Executive Secretary to the Superintendent serves as the primary administrative support to the Superintendent of Schools. The role involves high-level confidential and executive administrative assistance, ensuring efficient operation of the Superintendent’s office. The position requires strong organizational skills, professionalism, discretion, and the ability to anticipate the needs of the Superintendent. The Executive Secretary acts as a liaison between the Superintendent and internal/external stakeholders, including school staff, board members, parents, and community leaders.
Qualifications:
Education/Certification:
High school diploma or GED
Special Knowledge/Skills:
Knowledge of school district organization, operations, and administrative policies
Excellent communication and interpersonal skills
Proficiency in office technology including Microsoft Office Suite, Google Workspace, and digital scheduling platforms
Strong organizational skills and the ability to prioritize multiple tasks with attention to detail
Ability to work independently and exercise sound judgment
Demonstrated professionalism, discretion, and confidentiality
A proactive and anticipatory approach to supporting executive leadership
Commitment to public education and a student-centered mission
Experience:
High-level executive or administrative support experience, preferably in a school district or public agency
Major Responsibilities and Duties:
Key Responsibilities
Provide comprehensive executive support to the Superintendent, including calendar management, correspondence, meeting preparation, and travel coordination.
Serve as the first point of contact for the Superintendent’s office; handle inquiries, screen calls, and route communications appropriately.
Coordinate the preparation and distribution of materials for School Board meetings; record, transcribe, and maintain accurate meeting minutes.
Manage scheduling, logistics, and documentation for leadership team meetings, community events, and other engagements.
Maintain effective systems for filing, tracking deadlines, and following up on outstanding matters for the Superintendent.
Handle confidential information with a high degree of integrity and discretion.
Support special projects and initiatives as assigned by the Superintendent.
Maintain a professional and welcoming environment in the Superintendent’s office.
Comply with policies established by federal and state laws and regulations, and local board policy
Other
Assist with travel arrangements for board members and administrators as needed, including making hotel reservations and turning in conference registration forms.
Compile, maintain, and file all reports, records, and other documents as required.
Follow district safety protocols and emergency procedures.
