Hays are seeking a Temporary Administrative Coordinator to work for our client in Copenhagen.

Responsibilities:
Calendar Management: Efficiently manage and coordinate multiple calendars, ensuring all appointments, meetings, and events are scheduled accurately and timely.
Scheduling: Book and confirm appointments, interviews, and meetings, considering time zones and availability of all parties involved.
Coordination: Liaise with internal and external stakeholders, including executives, directors, and other administrative staff, to ensure seamless scheduling and communication.
Conflict Resolution: Identify and resolve scheduling conflicts proactively, adjusting appointments as necessary to accommodate changes.
Reminders and Follow-ups: Send timely reminders and follow-ups for upcoming meetings and deadlines to ensure all parties are prepared.’
Documentation: Maintain and organize calendar-related documentation, such as meeting agendas, minutes, and follow-up tasks.
Communication: Serve as the primary point of contact for calendar-related inquiries, providing clear and concise information to all stakeholders.
Administrative Support: Assist with other administrative tasks as needed, including, managing correspondence and supporting team projects.
Requirements:
Strong organizational and time-management skills.
Excellent communication, change management and interpersonal abilities.
Proficiency in calendar management tools- Outlook, Excel and PowerPoint.
Ability to handle multiple tasks and prioritize effectively.
Attention to detail and problem-solving skills.
Positive attitude and a team-oriented mindset.
Proficient in English.
