About the Role

The Preconstruction Coordinator will guide the Preconstruction Team in the successful management of preconstruction documents, project files, and turnover documents. This individual will also coordinate with Business Development to obtain, track, and engage new prospects through the customer relationship management (CRM) software.

Primary Responsibilities

Receive, track, and maintain bid documents including plans and specifications on shared drive

Review bid invitations, present potential projects for review to Preconstruction Team, complete bid forms, and appropriately respond to invitations to bid

Update bid negotiated list and distributed to preconstruction team weekly

Develop meeting packages and attend, take notes and follow up on meetings as necessary

Acquire bid bonds

Verify Davis Bacon Act and/or Buy America requirements for bid projects & obtain applicable Wage Determination as needed

Update bid list as needed & distribute to preconstruction team daily

Maintain data integrity of CRM system with frequent updates and accurate data entry

Run custom reports for Preconstruction Team and other leaders as needed through the CRM

Collaborate with preconstruction team to meet project deadlines and produce deliverables

Facilitate the distribution of documents such as plans, specifications, RFIs, addenda, etc. between the Preconstruction Team and clients

Retrieve list of general contractor bidders and contact information on bids with multiple general contractors

Create job information sheets and project binders for new projects

Maintain a high level of attention to detail in all tasks to ensure that project documentation is error-free and that all administrative processes are followed meticulously.

Coordinate with business development to track prospects and projects in the customer relationship management (CRM) system

Assist in the RFP process by sourcing relevant information for proposals and setting timelines for content delivery

Assist with all administrative company luncheons, meeting set-up, and trainings as requested and actively engage in industry and community events as needed

Ensure all project, company, and client policies, procedures, ethics & standards are followed

Qualifications

2+ years of previous experience in construction administration or a related field is preferred

Minimum of Associates degree is preferred

Proficiency in Microsoft Office products & ability to learn new software products

Strong organizational and multitasking skills

Excellent communication skills, both written and verbal
