Full Job Description

The Administrative Coordinator is part of Furman Hall in the College of Arts and Science at Vanderbilt University, and is responsible for facilitating administrative, operational, and financial activities of the Philosophy, Spanish & Portuguese, French & Italian, and German, Russian and East European Studies departments, and The Vanderbilt Center for Languages. The Administrative Coordinator reports directly to the Administrative Manager in Furman Hall. The Administrative Coordinator performs complex administrative duties requiring high-level decision-making skills and sound judgment. The position requires a thorough understanding of University policies and procedures.

Duties and Responsibilities:

Financial:

Processes all purchases and payments for the Furman Hall departments:

Professional Service Agreements.

Honorariums to guests.

Catering and other agreements.

Reimbursements to non-employees.

Events:

Plans and coordinates all on-campus and off-campus events for the Furman Hall Departments:

Coordinates events for department guest speakers, lecture series, and symposiums.

Books travel for guests and arranges itineraries (ground transportation, meals, meetings etc.).

Processes reimbursements and honorariums for visiting speakers.

Advertises events (posters, listserv announcements, calendar updates etc.).

Works with Event Services and makes room reservations.

Faculty recruitment.

Plans receptions, as needed.

Other:

Various other tasks for Furman Hall:

Responsible for departmental FedEx mailings.

Handles copy jobs, printing, and other administrative tasks as needed by faculty and staff.

Problem solves.

Other tasks, as needed.

Supervisory Relationships:

This position has no direct reports. This position reports administratively to the Administrative Manager in Furman Hall.

Qualifications:

A High School Diploma or GED is required.

A Bachelor’s degree from an accredited institution of higher education is preferred.

At least two years of professional experience is preferred .

Strong organizational and analytical skills are required .

Resourceful and detail-orientated skills are required .

Excellent interpersonal written and oral communication skills are required .

Ability to plan, develop, and coordinate multiple projects is required .

Ability to work both as a member of a team and independently is required .

Microsoft Office proficiency (including World and Excel) and Adobe Professional is necessary .

Knowledge of University policies, processes, and procedures is preferred .
