Responsibilities:

Law Department is seeking a dynamic and highly organized individual to join their team in Bloomington, IL. The selected candidate will provide secretarial assistance in support of attorneys and paralegals in Information Management & Discovery Counsel Unit.

Responds and/or refers visitor or caller inquires and requests to the appropriate staff member
Works with external business partners and vendors
Schedule appointments and maintains attorney(s) calendar
Organizes and maintains records, files, procedural manuals, reference materials, data, and miscellaneous information
Prepares correspondence, reports, and/or materials for appointments, meetings, etc.
Receives, opens, and/or distributes mail, printed materials, supplies, etc.
Requisitions supplies, equipment, printing, maintenance, and other services
Arranges meeting facility, seating, refreshments, equipment, and other services, as requested
Mentors and trains others, as needed
May arrange travel and lodging reservations
The selected individual will be considered a hybrid employee, spending required time in the office with some optional opportunities to work in a virtual environment at times. Work arrangements are subject to change over time based on business needs.
Qualifications:

Competitive Candidates should possess and have demonstrated the following skills and mindset:

Proficiency in all Microsoft Office applications, especially Outlook and Excel, and monitoring action items and filing from resource mailboxes
Demonstrated initiative in thinking/acting ahead of the attorneys. Anticipating and fulfilling needs of the attorneys without direct supervision
The ability to work with external business partners/outside counsel via, email and phone calls; in assisting them with any inquiries working with State Farm
Strong written and verbal communication skills
Ability to work individually and with collaborative, team-oriented skills and mindset
Positive, inclusive, and professional attitude
Ability to complete large volumes of data record keeping accurately and timely

Additional Details:

Applies discretion and appropriate security measures in handling confidential and sensitive information
Available job levels are dependent on reporting relationships
Lower job family levels may be substituted in lieu of recommended guidelines (i.e. business need, entry/trainee level, etc.)
Position will require supporting attorneys and paralegals
