Position Summary:
The Administrative Coordinator is the main point of contact for many who participate in activities or services at the Center. Duties include the handling of all in-person scheduling of appointments, acting as the lead for all new Client intake processes, checking Clients in/out in the Point of Sale System, and performing general office duties as needed and/or directed. Â
Hours: Monday through Friday 8:00am – 4:00pm
Essential Duties and Responsibilities:
The essential functions include, but are not limited to the following:
Responsible for opening and closing the facility as needed
Welcome Clients to the Center, refer them if they need assistance determining their program needs, and respond accordingly
Act as the in-person Scheduling Lead by scheduling appointments for Clients using the Point of Sale (POS) software system and maintain responsibility for all extended scheduling
Primarily responsible for checking Clients in & out using the POS system, while being mindful of any special procedures
Administer program registration and manage waitlists
Act as New Client Intake Lead by providing all necessary paperwork for Clients, including those participating in insurance-based services, entering all Intake Forms into the POS System, and ensuring completeness and accuracy
Regularly check through and maintain files of intake forms
Ensure the front desk is maintained with adequate copies of all forms, applications, flyers, and other documents
Maintain a clean, orderly, and welcoming appearance in the reception area
Maintain confidentiality when handling sensitive Client information
Represent the Center at offsite events as needed
Perform other duties as assigned
Qualifications and Skills:
High School Diploma or GED required with at least 1 year of experience in front desk reception or dealing directly with the public
Excellent interpersonal and communication skills
Ability to maintain a high level of confidentiality
Substantial experience and competency using Microsoft Office, Google Suites, POS Software; willingness and ability to learn new software
