About Us: We’re a small but growing swimming pool service company dedicated to providing top-quality service to residential and commercial clients. We’re looking for a reliable, organized, and detail-oriented Administrative Assistant to support our day-to-day operations and help us deliver outstanding service to our customers.
Job Description: As an Administrative Assistant, you will play a key role in ensuring smooth office operations. You’ll be the first point of contact for many of our customers and will support our team with various administrative tasks. This position is ideal for someone who is proactive, organized, and comfortable working in a fast-paced environment with a small team.
Key Responsibilities:
Manage and update customer accounts and service records
Answer and direct phone calls and respond to customer inquiries
Schedule and confirm service appointments
Prepare and file service reports and documentation
Maintain digital and physical filing systems
Handle incoming and outgoing emails and mail
Assist with billing, invoicing, and basic bookkeeping tasks
Coordinate communication between field technicians and customers
Track inventory and order office or pool-related supplies as needed
Perform general office duties such as data entry, scanning, and copying
Support management with various administrative projects
Qualifications:
High school diploma or equivalent (required)
Prior administrative or customer service experience preferred
Strong communication and interpersonal skills
Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace
Ability to multitask and stay organized in a small office setting
Dependable, punctual, and able to work independently
Experience in service-based industries a plus
Schedule:
Full-Time Hours
