Overview of Role:
We are looking for a highly organized and detail-oriented Executive Assistant that can assist with a range of administrative tasks that can mainly support our Executive Director. This position requires a highly organized and proactive individual who is skilled in managing competing priorities, maintaining confidentiality, and offering executive-level support. The Executive Assistant will collaborate with leadership and staff of the organization.
The ideal candidate will be based in Boston or nearby areas as this is in-person and requires coming into the office, and have 1-2 previous years of experience as an Executive Assistant or with the key responsibilities named above. We also know and understand that job positions are aspirational, so we are committed to supporting and coaching you to be able to accomplish the key responsibilities below.
This is a full time position. The general schedule will be approximately 35 hours per work week and may vary based on emerging needs, projects, hosting of events, and retreats.While we work a 4 day work week (Monday-Thursday), , you may be expected to work some Fridays or weekends if the amount of work requires it.
Key Responsibilities:
Executive Support: Provide direct administrative support to the Executive Director, including calendar management, meeting coordination, and travel arrangements when needed.
Communication Management: Screen and prioritize emails, phone calls, and correspondence on behalf of the Executive Director.
Meeting Preparation: Prepare agendas, take meeting notes, organize meeting notes, and track action items to ensure follow-up. Ensure that the Executive Director is fully prepared for meetings.
Fundraising and Event Support: Assist with planning and coordinating fundraising events, donor communications, and outreach initiatives. Help with managing donor databases and preparing reports.
Board Support: Coordinate meetings, communications, and materials for the Board of Directors. Maintain board records and assist with board-related activities.
Document Management: Maintain and organize important documents, contracts, and other materials in both physical and digital formats.
Special Projects: Assist with specific projects and initiatives as directed by the Executive Director or other senior staff members.
Research: Conduct research on key initiatives, trends, or topics relevant to the organization’s work, and provide summaries for the leadership team and/or Executive Director.
Qualifications
We are seeking someone who enjoys managing logistics and keeping things organized, takes the initiative to communicate and follow up with others, is open to learning, and is able to swarm to the various needs of an organization that is creative, adaptable and community-oriented. We are looking for people who will be consistent, on-time, and responsible. We are also seeking someone who is grounded in social justice/social change and wants to contribute to an organization making an impact to change our world.
There are no minimum school requirements for this position, however, you should feel comfortable with Gmail Suite (Drive, Documents, Sheets, Slides, Form, Etc.) and have strong oral and written communication skills. We also prefer if they have experience with the following but, if not, you would be willing to learn about:
Customer Relations Management (CRM) systems, particularly Hubspot
Notion
Canva
Miro
Otter AI
If you’re bilingual in English & Spanish, it’s a plus, but not required.
Compensation:
Our salary range will be between $40,000-$55,000, depending on experience &/or particular personal circumstances or needs.
