Description
REPORTS TO: Department Head
JOB CATEGORY: Administrative Support Professional
FLSA STATUS: Non-exempt
SUMMARY: Administrative Specialists perform a variety of administrative and clerical tasks to ensure efficient operation of the department/school office.
RESPONSIBILITIES:
1. Acts as the department head’s/principal’s assistant and performs administrative department/school customer service as directed.
2. Performs customer service duties, including in-person interactions; making and receiving telephone calls, including transferring calls to the appropriate individuals; directing department visitors to the appropriate individuals; answering general information questions and/or escalating more complex questions to the appropriate individuals; and assisting with coordination of department/school meetings and/or events.
3. Sets up and maintains paper and electronic filing systems for all records, correspondence, and other paper and electronic materials.
4. Performs administrative duties directly for the department head/principal, including composing paper and/or electronic written correspondence; scheduling/confirming/coordinating appointments; maintaining the department head’s/principal’s calendar; maintaining the department’s/school’s calendar; making travel arrangements, including hotel and travel accommodations as well as conference/seminar/webinar registrations for department/school staff.
5. Supports the department head/principal with budgetary duties, including monitoring and balancing of budget allocations; creation and execution of purchase orders; monitoring and balancing monthly departmental P-Card statements; and reviewing departmental expense reports.
6. Composes paper and/or electronic written correspondence to a diverse pool of individuals, including the department head, fellow staff members, administrators, students, families, and the general public as directed by the department head/principal.
7. Composes/runs position specific documents/reports and/or retrieves data for reporting out to diverse pool of individuals, including the department head, fellow staff members, students, and families as directed by the department head/principal.
8. Performs other duties as assigned.
SKILLS:
1. Advanced use and knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Publisher, Outlook).
2. Ability to attain advanced skills with position-specific software systems within one year of KUSD work experience.
3. Ability and willingness to maintain confidentiality of any information gained within the course of executing one’s position responsibilities.
4. Knowledge of and ability to uphold and execute all district safety procedures (knowledge to be attained within one year of employment with the district)
5. Ability to operate office equipment such as multi-line telephone, fax machines, copiers and computers.
6. Advanced verbal and written communication skills in English and preferably Spanish.

PHYSICAL DEMANDS Must be able to remain in a stationary position for long periods of time; occasionally required to move about inside the office to access file cabinets, office machinery, etc.; consistently and repetitively operates a computer and other office machinery such as calculator, copy machine and/or computer printer; regularly required to communicate and exchange accurate information with administration, staff, and the public. Occasionally be required to lift up to 20 pounds unassisted.

Qualifications
QUALIFICATIONS:
1. Education:
a. Required – Associate degree in administrative support, business administration or related field.
i. In lieu of degree, minimum 7+ years’ of relevant administrative experience.
b. Preferred – Bachelor’s degree in business administration or a related field.
2. Experience:
a. Required – Minimum of five years’ current work experience in administrative support work.
b. Preferred – Minimum of seven years’ current experience in administrative support work.
3. Language:
a. Preferred – Spanish Bilingual/Biliterate
