About Administrative Secretary:
This is a non-bargaining, confidential position. Serves as secretary to the head of a major department or other administrative official or for the coordinator of a specific division within a department. Performs difficult clerical and accounting tasks requiring responsible decision making in accordance with established policies. Considerable judgment and independent action are exercised, and complex secretarial tasks are performed.
Essential Functions
Coordinates administrative and fiscal activities for a department, possibly serving as a lead worker to other secretarial and clerical personnel.
Prepares correspondence independently or based on brief notes.
Enters or directs the entering of correspondence and other documents on a word processing, spread sheet or other computer programs using a keyboard.
May take dictation of letters, reports, memoranda, articles, and addresses relating to routine or specialized fields of work such as medical, legal or child support records.
Directs external and internal customers to proper office; or answers their questions concerning rules and regulations, standards, and procedures.
Compiles special reports upon request and may be responsible for preparing and processing confidential information.
Reviews office procedures and implements necessary changes.
Attends board meetings and similar meetings and takes and prepares minutes using a word processing computer program.
Prepares meeting agendas.
Establishes and maintains department or division filing system.
Prepares and enters on a word processing, spread sheet or database computer program complex statistical reports, letters, memos, legal documents, ordinances, directives, and related materials using a keyboard.
Screens telephone calls; handles personally if possible; and provides information based on knowledge of policies, regulations, or department head’s viewpoint.
Makes and keeps track of appointments for office staff or supervisor.
Determines when conference with department head is necessary or which staff member to see regarding office, clerical, or technical problems.
Trains new personnel working in various sections of the office or department.
May assist with preparing invoices for services provided, receipt of payment on invoices, and/or entry of bills to be paid.
May assist in or prepare office payroll.
May assist in research and preparation of grant proposals and reports and communication material at the direction of the supervisor.
Minimum Qualifications & Requirements
High school diploma or equivalent required. Associate’s degree in a related field preferred.
Three (3) to five (5) years of experience in a related field required.
