We are seeking a highly organized and professional Receptionist/Administrative Assistant to join our team. This role is essential in ensuring smooth office operations and providing exceptional support to both staff and clients. The ideal candidate will possess strong time management skills, excellent phone etiquette, and a friendly demeanor to create a welcoming environment.

Duties

Greet incoming calls with a warm and professional manner, ensuring a positive first impression.
Manage incoming calls, directing them to the appropriate personnel while maintaining excellent phone etiquette.
Maintain office, ensuring it is tidy and welcoming at all times.
Perform clerical duties such as filing, data entry, invoicing and document preparation to support office operations.
Assist with office management tasks including inventory control of supplies and equipment maintenance.
Provide personal assistant support to executives or team members as needed.
Communicate effectively with clients and staff, fostering a collaborative work environment.
Utilize bilingual skills to assist diverse clientele when applicable.

Qualifications

Proven experience in an office or administrative role preferred.
Strong organizational skills with the ability to manage multiple tasks efficiently.
Excellent time management skills to prioritize tasks effectively in a fast-paced environment.
Proficient in clerical duties including data entry, filing, and document management.
Familiarity with office software (e.g., Microsoft Office Suite).
Strong interpersonal skills with the ability to build rapport with clients and colleagues alike.
A proactive and go-getter attitude towards problem-solving and improving office processes.
Proficient in Microsoft Office (Word, Excel, Outlook) and QuickBooks Online
