We manage a diverse portfolio of multifamily communities, ensuring they are maintained to the highest standards. We are seeking a highly organized and professional Administrative Assistant to support our regional property managers and contribute to the efficient operation of our company.

Job Summary: The Administrative Assistant will provide high-level administrative support to the regional property managers, ensuring the smooth operation of daily activities. This role requires a proactive individual with excellent organizational skills, attention to detail, and the ability to handle confidential information with discretion. The ideal candidate will have experience in the property management industry and possess strong communication and multitasking abilities.

Key Responsibilities:

Manage and maintain calendars, scheduling meetings, appointments, and travel arrangements.
Prepare and edit correspondence, reports, presentations, and other documents.
Expense reports for the regionals.
Serve as the primary point of contact between regionals, clients, and internal/external
Coordinate and organize regional managers correspondence and maintain portfolio details.
Handle incoming calls, emails, and inquiries, responding on behalf of regionals when appropriate.
Assist in the preparation and distribution of meeting agendas, minutes, and follow-up actions.
Conduct research and compile data to support regionals managers decision-making.
Maintain confidential files and records, ensuring they are up-to-date and accessible.
Manage office supplies and ensure the office environment is professional and well-organized.
Perform other administrative duties as assigned by Executive Administrative Assistant to support the regional team and overall company operations.

Qualifications:

Proven experience as an Administrative Assistant or in a similar role, preferably in the property management industry.
Excellent organizational and time-management skills.
Strong written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
Ability to prioritize tasks and work independently with minimal supervision.
High level of discretion and confidentiality.
Detail-oriented with the ability to handle multiple tasks simultaneously.
Professional demeanor and positive attitude.

Education:

High school diploma or equivalent required; Bachelor’s degree preferred but not required.
