Job Description:

Global Vacuum Systems is seeking an experienced and results-driven Office Manager to

oversee key administrative and financial operations. This role will be responsible for

managing the HR Manager, Accounts Payable, Accounts Receivable, and Receptionist

while ensuring efficient office operations. The ideal candidate must have strong cash

management skills and a solid business acumen in profit and loss (P&L) financial

statements to support the company’s financial health and operational success.

Key Responsibilities:

Leadership & Oversight: Supervise and provide guidance to the HR

Manager, Accounts Payable, Accounts Receivable, and Receptionist to ensure operational

efficiency and compliance.

Financial Management: Monitor and analyze profit and loss (P&L)

statements, identify cost-saving opportunities, and assist in financial planning.

Cash Management: Maintain and oversee cash flow, bank reconciliations,

and ensure financial transactions are properly recorded.

Accounts Oversight: Work closely with Accounts Payable and Accounts

Receivable to manage invoicing, collections, and vendor payments efficiently.

HR & Compliance: Collaborate with the HR Manager on employee relations,

payroll, benefits administration, and compliance with labor laws and company policies.

Operational Efficiency: Develop and implement office policies and

procedures to improve workflow, productivity, and cost control.

Reporting & Analysis: Prepare and present financial reports, office

performance metrics, and budget recommendations to senior management.

Strategic Planning: Work with leadership to improve operational efficiency

and profitability while maintaining compliance with industry standards.

Administrative Coordination: Ensure office supplies, equipment, and

facility operations are well-maintained and fully functional.

Qualifications & Skills:

Proven experience as an Office Manager, Finance Manager, or Business

Administrator with financial oversight responsibilities.

Strong cash management experience and proficiency in profit and loss (P&L)

financial analysis.

Excellent leadership, organizational, and problem-solving skills.
Ability to effectively manage and support a team while fostering a

collaborative work environment.

Proficiency in Microsoft Office Suite, QuickBooks, or other financial

management software.

Strong communication and interpersonal skills.
High attention to detail and ability to handle confidential information with

discretion.

Pay: $65,000.00 – $70,000.00 per year
