The Administrative Coordinator (Utility Programs) plays a vital role in connecting clients, project teams, and internal systems within a fast-paced, detail-focused environment. This position supports communication, data accuracy, project tracking, and documentation management, ensuring smooth coordination across multiple stakeholders. The role contributes to the organization by maintaining data integrity, facilitating project processes, and providing clear reporting to support decision-making and operational efficiency.

3. Responsibilities:

• Serve as the primary administrative contact for a utility client, managing ongoing communication and coordination

• Maintain, audit, and clean internal and client databases to ensure accuracy, consistency, and compliance

• Support project tracking, approvals, and documentation, including monitoring approval timelines

• Prepare status updates and reports by summarizing complex project data clearly

• Coordinate with project managers, engineers, and client representatives to resolve data discrepancies

• Organize and align records and documentation across platforms

• Assist in training, onboarding, and updating processes related to client systems and workflows

4. Requirements:

• Previous administrative or customer-facing experience, preferably in engineering, utility, or construction industries

• High School Diploma required

• Associate or Bachelor’s degree in Business Administration or related field preferred

• Strong database management and data entry skills

• Experience with SharePoint, SAP, or similar ERP systems preferred

• Strong time management skills and ability to meet strict deadlines

• Excellent verbal and written communication skills
