The Edge Partnership is an Asia-focused recruitment firm, and we are aggressively growing our recruitment team as a result of very strong market demand. Our presence is in 7 offices across Hong Kong, India, Malaysia, and Singapore.
We are searching for an Admin expert for our Malaysia office with a strong track record. As an Administrative Executive you should be proactive and support the team members. Should possess self-motivation, attention to detail, and flexibility to a high-paced deadline. Your daily routine also includes interaction with various executive-level internal clients across the business.
Key Responsibilities will include:
CV formatting
Post adverts correctly on job boards and website
Weekly admin project reviews/updates
Weekly check with the business re which adverts to refresh
Ensure database compliance of country team members
Create and manage Malaysia revenue file for Managing Director as a secondary record of offers made
Share Malaysia and Malaysia employee attendance data and Finance data to Finance team
Ensure Head of L&D, People & Operations has monthly update on leavers and joiners with all relevant salary details and exact start dates
Prepare End of Month and End of Year presentations in timely fashion
Ad Hoc
Client/Contact adding in infinity, Contact Transfer from one client to other, Deactivating Client/Contact /Location record, merging records, linking client and contact records.
Organise and co-ordinate company events
Office management responsibilities
Primary point of contact for all external vendors to Malaysia and Malaysia office
Induction plans for Malaysia and Malaysia new starters
Maintain diary for deadlines and reminders of all statutory requirements for Malaysia, Malaysia and Group holding legal entity and ensure submissions are met timely (company secretary / tax / licenses / immigration etc.)
Ensure Corporate deck updates are done for Malaysia and Hong Kong team when new leavers or starters (share to Devi)
Organise name cards for team members in Malaysia and Malaysia
Organise Accounts Payable with Finance for Malaysia/ Malaysia/ Hong Kong and ensure paid in timely fashion. Share all invoices with Finance and clarify if a local or a group cost
Manage birthday calendar for Malaysia and Malaysia offices
Arrange gifts for locally promoted employees
Manage holiday calendar – individual and statutory holidays for Malaysia and Malaysia
Uploading TOB and MSA on infinity and updating corresponding data financial tab and corresponding date tracker too.
Sending client contract expiration invites for Malaysia and Malaysia offices
Sending welcome mail to new starters which contains their joining form, bank details request login credentials and induction schedule.
Preparing and organizing the induction schedule for all new starters.
Conduct “Welcome by Admin” session.
Share Malaysia and Malaysia employee bank account data to finance team.
Collect NRIC / ID details for MOM submission
