Job Summary
Conceptra Biosciences, an innovative life sciences company focused on women’s health, seeks an experienced Executive Assistant to support the executive team, and facilitate the execution of projects across multiple departments. This role will support the CEO, manage logistics for meetings and events, and work closely with senior management to ensure that their projects are on schedule, within budget, and deliver high quality results. The ideal candidate will have experience in executive assistance and project management. This is a full-time role located in the Phoenix metro area.

Responsibilities
Assist the CEO and other executive team members with executing corporate responsibilities.
Assist team leaders with the logistics for onboarding and training new team members.
Manage logistics for conference attendance and interactions with conference managers to ensure proper team attendance.
Assist with submissions for state licensing and managing documents.
Manage office environment and coordinate building services including, but not limited to, cleaning services, trash and recycling, pest control, and plant care.
Facilitate meetings and communications to ensure everyone is aware of project status, timelines, and responsibilities.
Help meeting leaders aggregate subject matter and efficiently disseminate the meeting agendas prior to meetings.
Annotate meetings and ensure all team members attending receive notes and are appropriately assigned action items.
Monitor project progress and report on status to senior management and stakeholders.
Identify and manage risks and issues associated with projects, developing and implementing contingency plans as needed.
Manage project documentation, ensuring that it is up-to-date and easily accessible to team members.
Foster a positive and collaborative team environment that encourages communication, creativity, and continuous improvement. Provide comprehensive administrative support to executives, including managing calendars and scheduling appointments.
Desired Skills & Experience
Education
Bachelor’s degree in business, project management, or a related field, or equivalent work experience.
Experience
5+ years of experience in executive assistance
Prior experience in project management is preferred
Experience in the pharmaceutical or healthcare industry is preferred
Required skills & competencies
Demonstrated ability to lead detailed meeting and event planning
Demonstrated ability to manage multiple projects simultaneously while maintaining attention to detail
Proficiency in project management software, Microsoft Teams and Office Suite, and other relevant tools
Excellent written and verbal communication, organizational and interpersonal skills
Ability to thrive in a fast-paced, dynamic environment and manage multiple priorities effectively
Self-motivated with the ability to work independently
Preferred skills & competencies
PMP or other project management certification
Demonstrated ability to manage quality improvement initiatives
Work environment & compensation package
Full-time in-person position
Pay: $65K – $75K per year based on skills and experience
Benefits: 401(k), dental insurance, health insurance, paid time off, parental leave
Schedule: Monday to Friday with weekends as needed

Pay: $65,040.00 – $74,945.00 per year
