Job Overview
We are seeking a part-time, detail-oriented and organized professional to support our Property Management department through financial processing and administrative coordination. This role plays a key part in ensuring accurate financial transactions, maintaining up-to-date records, and providing great customer service to property owners and tenants.
The ideal candidate will have a strong aptitude for working with numbers, experience with financial and administrative systems, and the ability to manage multiple tasks in a fast-paced environment.
Responsibilities and Duties
Financial Processing & Payments
Process non-sufficient fund (NSF) notices: notify owners and tenants, send NSF emails and 5-Day notices, update AppFolio.
Process rent payments: audit reimbursement checks, finder’s fees, commission checks (including coordination, re-inspection, and early termination fees).
Reconcile monthly credit card statements: gather receipts, add notes for reimbursement.
Input monthly debits into AppFolio.
Handle owner/tenant debit changes: send and submit forms within required timelines.
Process invoices for reimbursements and finder’s fees.
Manage water bill accounts: coordinate with owners, tenants, HOAs, and process payments.
Process referral fees for agents.
Assist owners during tax season with documentation and login issues.
Administrative Support
File and audit smoke detector certificates; use DocuSign when applicable.
Update HOA information in AppFolio for all properties as needed.
Process Property Management Agreement (PMA) terminations for owners.
Complete and process mid-lease addendums (e.g., pets, paint, security systems, leaseholder changes).
Update owner/tenant contact information in Top Producer and other platforms.
Contact HOAs and condo associations regarding leasing activities.
Respond to rental reference requests from outside landlords.
Log in lockboxes and text riders when returned.
Update rental records in AppFolio with ongoing changes to include scanning and filing.
Support the Transitions Coordinator with move-out services and owner-requested upgrades to properties.
SKILLS REQUIRED
Experience in property management or a related field is preferred.
Strong analytical and accounting skills.
Proficient with property management software is highly desirable.
Familiarity with digital tools.
Excellent organizational skills with attention to detail.
Strong communication skills, both written and verbal.
Ability to work independently as well as part of a team.
TEAM MEMBER BENEFITS

Expected Hours: 30 hours per week, Monday – Friday, no remote work
Hours of operation: 9 -5pm Monday – Friday.
Salary: $19-$20/hour
