Administrative Assistant

Overview:

We are seeking a highly organized and motivated Administrative Assistant to join our dynamic team. The ideal candidate will play a crucial role in ensuring the smooth operation of office processes by providing essential administrative support. This position requires strong time management skills, attention to detail, and the ability to multitask effectively in a fast-paced environment. This position will require 32 hours per week and may become full-time depending on the employee’s ability to cross over and support our entire team. Responsibilities:

Manage and maintain the Frederick Construction (FC) billing inbox.
Manage trade contractor compliance requirements.
Generate monthly billing packets and forward to the project managers via Sharepoint.
Assist with the submission of complete billing packets to clients.
Assist with the management of the FC OneNote.
Assist gathering content for the marketing opportunities via the FC website and online platforms.
Manage calendars, scheduling appointments, and meetings efficiently.
Manage weekly toolbox talks.
Manage employee safety training compliances.
Manage fleet records and maintenance.
Manage and distribute daily mail.
Manage office supplies.
Provide exceptional customer support through various communication channels, including phone systems and email.
Assist with file organization and management, ensuring that all documents are accurately filed and easily accessible.
Utilize Microsoft Suite for document creation, data entry, and collaboration with team members.
Perform clerical duties such as typing correspondence, reports, and other documents as needed.
Support team members with personal assistant tasks to enhance productivity and workflow.
Maintain a clean and organized office environment.

Requirements

· Experience

General knowledge of the commercial construction industry or proven experience in an office assistant or similar administrative role is preferred.
Strong computer literacy skills, including proficiency in Microsoft Suite applications.
Excellent time management with a focus on prioritizing tasks effectively.
Familiarity with phone systems and customer support practices.
Ability to work independently as well as collaboratively within a team setting.
A proactive approach to problem-solving and willingness to learn new skills.
Education
Associate’s degree in business administration, accounting, or marketing, and/or 5+ years equivalent professional experience.
