We are looking for an experienced Administration Head to supervise daily support operations of our company and plan the most efficient administrative procedures.

A great administration Head has excellent communication and organizational skills. The ideal candidate will be well-versed in departmental procedures and policies and will be able to actively discover new ways to do the job more efficiently.

The goal is to ensure all support activities are carried on efficiently and effectively to allow the other operations to function properly. This is also handling VISA & Work Permit for expats (BOI) scope of work.

Main Responsibility:

Ensuring a company is operating securely and effectively

Overseeing department budget planning and development

Plan and coordinate administrative procedures and systems and devise ways to streamline processes

Ensure the smooth and adequate flow of information within the company to facilitate other business operations

Ensure operations adhere to policies and regulations

To utilize resources optimally in order to provide a safe/secured work environment and to oversee the day-to-day administration functions of the location.

Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints

To promote, develop and establish a positive safety culture so that it can meet its legal requirements in terms of Health, Safety and Compliance

Ensure regular maintenance of Electrical, Electronic, and mechanical installations by tracking and monitoring the performance of service providers

Data collation, presentation, compliance, and implementation of Admin-Facilities related items under ISO 14000 and OHSAS 18000 Health and Safety Certification Standard

Work closely alongside with various auditors (internal & external) and provide all relevant artefacts to fulfill audit requirements

Liaise with government offices for acquisition of expatriate staff visas and work permits under BOI. Handling with document and keep track of information of visa and work permit of staff.

Preparing all necessary documents to apply for work permits and visas by coordinating with Expatriate Staff. Responsible in preparation and process VISA, work permit, and other immigration matters for expatriates

Making a good relationship with Labor Department and immigration officer to make all application processes and negotiations more smooth.

Qualification Requirement:

Excellent relationship builder; able to demonstrate a high level of tact, discretion, and diplomacy with all internal and external stakeholders. Must also demonstrate ability to maintain confidential/sensitive information.

Excellent communication skills in Thai & English (oral and written) with a confident, concise, clear, and compelling style

Computer literacy skills: Proficient in all MS Office applications including, Word, PowerPoint, O365, Outlook and most especially in Excel

Able to multi-task and work proactively in a fast-paced environment
