Job Summary
We are seeking a highly organized and detail-oriented Administrative Support Assistant to join our team. The ideal candidate will maintain, update and processes all orders related to the machine shop production and the assembly area production. Responsible for ordering and maintaining all local parts and supplies purchasing. Also required to maintain the payroll information and to create any necessary databases required to maintain production records and to provide essential support to ensure smooth operations. This role requires proficiency in various administrative tasks, excellent communication skills, and the ability to manage multiple priorities effectively.
Duties
Assists the Field Technical Center maintaining accurate records of all shop activities.
Maintains machine shop and sets up the work orders in the database and all detailed information.
Processes equipment work orders and inventory through the database.
Updates sales and service personnel on Field Technical Center activities by producing monthly reports.
Environmental program maintenance.
Assists in invoice processing and billing customers for orders.
Assists the parts department with processing parts orders, maintaining inventories, and parts control.
Assist the shop manager with safety inspections and other safety functions.
Maintains and updates all safety records for Safety Program.
Responsible for all local parts and supplies ordering and processing for the Field Technical Center.
Responsible for communicating with all our local suppliers to set delivery dates and to negotiate prices. Price negotiation is done in conjunction with the management from each Field Technical Center group.
Maintain reports and files for all local and out of country purchasing.
Performs other duties deemed necessary by management.
Assist in the preparation of reports and presentations
Maintain organized filing systems, both electronic and physical, for easy retrieval of documents.
Support the team with clerical tasks such as data entry, correspondence, and document management.
Facilitate communication between departments to enhance workflow and collaboration.
Skills
Must have 4 years + of office experience/support.
General administrative duties.
Have work previously in a production and/or manufacturing environment.
Strong organizational skills with an ability to prioritize tasks effectively.
Proficiency in Excel, Word, Access and familiarity with other computer applications.
Excellent phone etiquette for professional interactions.
Ability to work independently as well as part of a team in a fast-paced environment.
Attention to detail with strong clerical skills to maintain accurate records and documentation.
