Responsibilities

Legal Support

  • Document Preparation: Draft, review, and finalize legal documents (e.g., Lease Agreements, Purchase & Sale Agreements, Listing Agreements) from broker-provided drafts, ensuring accuracy and proper formatting before execution.
  • Correspondence: Prepare professional and timely letters of intent (LOIs), memos, and other administrative correspondence while maintaining confidentiality.

Marketing Support

  • Marketing Collateral: Create and finalize standard marketing materials (flyers, BOV’s, proposals, surveys, timelines, etc.) using Adobe InDesign and company templates.
  • Listings Management: Maintain listing accuracy across nai-psp.com, CBA, and CoStar; track confirmations and expirations.
  • Digital & Print Materials: Assist in producing property marketing collateral and email campaigns while ensuring adherence to brand guidelines.
  • Event & Editorial Support: Help with planning and executing company events and campaigns, including invitations, logistics, and setup/teardown. Capture event photos and support social media and blog content creation.
  • Signage: Coordinate signage checkouts and maintain in-office inventory.

Basic Administrative Support

  • Front Office: Open office, ensure kitchenette is ready for the day, printers are filled with paper, conference rooms are kept tidy, welcome visitors, manage keycard and door access, validate parking, and answer the main business line with professionalism.
  • Operations: Handle mail, supply inventory, office scheduling, and coordination for meetings, celebrations, and events. Provide light IT troubleshooting and vendor communication as needed.
  • E-Signature Management: Prepare and route company documents for e-signature, ensuring timely completion and follow-up.
  • Onboarding Support: Assist with basic onboarding tasks for new brokers and administrative staff.

Qualifications

Experience: 0–2 years in administration and/or marketing; commercial real estate, construction, or related industry experience preferred.

Technical Skills:

  • Proficiency in Microsoft Word and Excel
  • Experience with Adobe InDesign and Canva (strongly preferred)
  • Familiarity with Photoshop, Illustrator (strongly preferred)

Professional Skills: Strong attention to detail, clear communication, excellent organization, and the ability to manage multiple priorities while maintaining confidentiality.

Work Schedule & Environment

• Monday–Friday, 8:30 a.m.–5:30 p.m. (one-hour lunch)

• Primarily onsite at our Bellevue office

Benefits

New employees are eligible for Health, Vision, and Dental coverage on the first day of the first full month following their start date. The position also includes eligibility for a bonus and profitsharing. Employment is contingent upon a background check and verification of work authorization (I-9 form).
